Executive Assistant to the SuperintendentThe Superintendent's Executive Assistant serves as a trusted strategic partner to the Superintendent and plays a critical role in advancing Lexington School for the Deaf's mission, vision, and culture. This highly visible position provides executive‑level administrative, organizational, communication, and operational support while serving as a key liaison among the Superintendent, Board of Trustees, Executive Leadership Team, School Leadership Team, staff, families, and community stakeholders.
The successful candidate will demonstrate a deep commitment to Lexington's mission of empowering Deaf and Hard of Hearing students through a language‑rich, student‑centered educational environment. The Executive Assistant will contribute to a positive and collaborative workplace culture by promoting professionalism, effective communication, accountability, respect, and teamwork across all levels of the organization. Fluency in American Sign Language (ASL) and written English is required, as the Executive Assistant serves as an important communication bridge within Lexington's bilingual environment and may provide interpretation support during meetings and events as needed.
Support to the Superintendent
- Manage and maintain the Superintendent's calendar, appointments, meetings, and scheduling priorities.
- Coordinate schedules with members of the Executive Leadership Team (ELT), School Leadership Team (SLT), Board members, and external stakeholders.
- Confirm appointments and distribute schedules, agendas, and meeting materials to participants.
- Arrange and coordinate travel, accommodations, and related logistics.
- Screen incoming calls, correspondence, and requests, exercising discretion and sound judgment.
- Draft, proofread, edit, and distribute correspondence, reports, presentations, and communications on behalf of the Superintendent.
- Serve as the primary administrative liaison between the Superintendent and the Board of Trustees.
- Coordinate and schedule Board and Board Committee meetings.
- Prepare Board and Committee agendas in collaboration with Board leadership and the Superintendent.
- Assemble and distribute Board briefing materials, reports, and supporting documentation.
- Record and maintain official Board Committee meeting minutes when not serving as interpreter.
- Maintain confidential Board records and governance documents.
- Support meetings through scheduling, agenda preparation, document management, interpretation, minute‑taking, and follow‑up on action items.
- Collaborate with Executive Assistants and Administrative Assistants to coordinate school‑wide events including Parent‑Teacher Conferences, Open House, Graduation, Board events, and other special programs.
- Process purchase orders, check requests, and other administrative transactions as needed.
- Work collaboratively with the Interpreter Coordinator.
- Provide interpretation services for the Superintendent during internal and external meetings as appropriate.
- Draft and edit communications to ensure accuracy, professionalism, and consistency.
- Manage confidential information and communications with the highest degree of discretion and professionalism.
- Utilize Google Workspace, Power School, Schoology, and other databases to perform data entry, retrieval, reporting, and record management.
- Maintain accurate electronic and paper records, files, and documentation related to Superintendent and Board operations.
- Support implementation of the School's Strategic Plan with an emphasis on strengthening culture, communication, collaboration, and organizational excellence.
- Coordinate special projects and initiatives on behalf of the Superintendent.
