The Delano Public School District's Community Education Department is seeking applicants for an Administrative Assistant. This position is 35 hours per week, 236 days per year (225 working days + 11 holidays). The salary will be based on the district Administrative Assistant contract and is eligible for benefits.
Position SummaryThe Community Education Administrative Assistant provides administrative and operational support to the Director and Community Education programs, including early childhood, childcare, enrichment, and recreation programs. The position serves as a key organizational partner with all program coordinators, helping coordinate priorities, manage program logistics, support communication with staff and families, and ensure efficient daily operations of Community Education programs. The administrative assistant also helps maintain awareness of operational needs within the department and communicates relevant information in a solutions‑focused manner.
Areasof Responsibility
- Provide outstanding customer service and serve as a resource to both customers and staff.
- Provide direct administrative support including calendar coordination, preparing materials, organizing reports, and assisting with prioritization of departmental initiatives and timelines.
- Maintain Community Education registration website and manage the registration process, including building classes, running reports, and compiling program data.
- Prepare financial information including deposits, credit card reconciliations, and other program financial reports.
- Support marketing efforts including print media, social media, and other promotional opportunities.
- Assist in planning and implementation of Community Education classes and programs including scheduling, reporting, and communication with instructors and staff.
- Provide clerical support for early childhood programs and screening, childcare, recreation and enrichment, and other programs as needed.
- Maintain awareness of operational needs and identify items requiring follow‑up, communication, or additional coordination within Community Education programs and communicate relevant information to the Director in a constructive manner.
- Assist in monitoring program operations and support data entry, data tracking, and required state reporting.
- Other responsibilities as assigned.
- High School diploma required; bachelor's degree preferred.
- At least two years of relevant administrative or office experience.
- Excellent written, oral, and technical communication skills.
- Excellent interpersonal skills and conflict management skills.
- Outstanding organizational skills, attention to detail, and accuracy.
- Experience handling payments, preparing deposits, and reconciling financial records.
- Ability to work collaboratively and maintain positive relationships with the public, Community Education staff, and district staff.
- Ability to exercise professional judgment and maintain confidentiality when handling sensitive information.
- Strong organizational awareness and ability to communicate concerns or operational needs in a solution‑oriented manner.
- Strong computer skills including Google Suite applications, creating/maintaining spreadsheets, presentations, and utilizing programs such as Canva, Peach Jar, Smore, etc.
- Knowledge of Delano Community Education programs desirable.
$20.20 - $21.94/ hour
