Office Support Agent/Receptionist – Administration Section
The European Union Delegation to the United Nations, New York is looking for an enthusiastic, service‑minded candidate to serve as an Office Support Agent/Receptionist in the Administration Section.

Contract:
2‑year fixed‑term contract with the possibility of two renewals, up to 7 years; an indefinite contract may be offered after the seven‑year term.
Start date:
August 1, 2026
Salary: $51,000–$60,000 per year, depending on relevant experience (2–6 years).
Benefits: 401(k), dental insurance, health insurance, vision insurance, paid time off, flexible schedule, 24 days of annual leave plus public holidays.
Working hours:
37.5 per week.
- Manning the EEAS Reception Desk and answering all phone calls.
- Coordinating meeting rooms.
- Preparing drinks, setting up lunches and receptions.
- Backing up the internship coordinator.
- Managing the driver’s calendar and all driver files (hours, calendar, etc.).
- Primary point of contact with drivers.
- General secretarial duties concerning administrative issues.
- Greeting visitors and maintaining the visitor log and statistics.
- Assisting with hotel reservations for Brussels‑based officials and visitors, obtaining offers from hotels, and booking rooms for delegates.
- Occasional assistance at hotels for VIPs.
- Applying for UN passes for Brussels‑based officials and visitors.
- Regularizing private telephone bills and voice‑mail programming.
- Managing and ordering office supplies.
- Keeping track of meetings for statistical purposes.
- Managing all deliveries, including dispatching Fed Ex mail.
- Photocopying and distributing correspondence.
- Managing residence and office wine inventory with the help of the HoD’s secretariat.
- Minimum 2 years of relevant experience.
- Proficient written and oral English; professional, discreet, and able to safeguard confidential matters.
- Excellent organisational skills, flexibility with working hours, independent judgement, and stress tolerance.
- Excellent communication and interpersonal skills.
- Proficiency in IT tools (Word, Excel, Outlook, etc.).
- Ability to work autonomously, calmly under pressure, and use initiative.
- Experience working with diverse teams in a multicultural environment.
- High school diploma required; bachelor’s degree is an asset.
- Experience in an EU Delegation, UN, or other international institution.
- General knowledge of the EU and how an EU Delegation operates.
- French language knowledge is an asset.
The Delegation does not sponsor visas for Local Agents; applicants must have existing US work authorization that does not require sponsorship.
