Morgan, Lewis & Bockius LLP, one of the world’s leading global law firms with offices in strategic hubs of commerce, law, and government across North America, Asia, Europe, and the Middle East, has an opening for an Administrative Assistant, Facilities and Office Services, reporting to the Regional Director, Facilities and Office Services. The Administrative Assistant will be responsible for providing administrative support as well as a wide range of administrative assistance to the Regional Director, Facilities and Office Services, local office facilities and local office administration to facilitate the design, development, and implementation of various office and firmwide initiatives.

This position regularly interacts with clients and all levels of personnel throughout the firm. This position will reside in our New York, New York office with an essential work schedule of 5 days per week. Flexibility with overtime is required.

What You’ll Do
  • Support daily office operations, including office moves, renovations, construction projects, and facilities programs with Open Blue software.
  • Maintain facility safety documentation and coordinate building maintenance with property management, vendors, and internal teams.
  • Partner with Firm and Local IT to resolve office and building infrastructure issues.
  • Coordinate vendor services, contracts, renewals, and procurement activities.
  • Support conference center, hospitality, mail, and copy center operations.
  • Assist with office security systems and emergency preparedness planning.
  • Track departmental budgets, expenses, and identify opportunities to improve efficiency.
  • Collaborate with Facilities, Office Administration, Procurement, and Regional Directors to standardize processes and improve operations.
  • Purchase and maintain inventory of office, conference room, hospitality, and branded supplies.
Who We Are Looking For
  • 3-5 years of administrative support experience required.
  • Bachelor’s degree a plus.
  • Professional services industry experience a plus.
