Job Summary

Administrative Assistant – Support to attorneys, liaison with departments, and overall office administration. Responsibilities include legal document preparation, conflict checks, expense reporting, travel coordination, hospitality and facilities tasks, and general clerical duties.

Essential Functions
  • Process invoices and monthly expense reports in Concur.
  • Run conflict checks and open new client engagements.
  • Create engagement letters.
  • Assist in the preparation/revision of correspondence, pleadings, PowerPoint presentations, and other documents.
  • Schedule attorneys’ appointments and manage calendars.
  • Close matters as instructed.
  • Upload documents and emails to Netdocs document management system.
  • Enter attorneys’ time in InTapp.
  • Book and organize travel arrangements through the firm’s travel agency.
  • Proofread documents.
  • Perform routine hospitality and facilities tasks: prepare mail, packages, sort and distribute incoming mail.
  • Assist with document reproduction and processing: copying, scanning, date‑stamping, and binding.
  • Troubleshoot office equipment and schedule repairs.
  • Prepare conference rooms for meetings and clean up afterward.
  • Order office and supplies as requested.
  • Function as liaison with internal departments and outside agencies.
  • Provide other administrative assistance as requested.
Qualifications & Skills
  • Preferred:
    One year of experience in a legal environment.
  • Strong verbal and written communication skills.
  • Ability to multi‑task and meet deadlines.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong interpersonal skills and ability to work cooperatively with attorneys and staff at all levels.
  • Education:

    High school diploma or equivalent required; 4‑year college degree preferred.
  • Hourly range (NY): $28.00 – $38.00, based on experience and other factors permitted by law.
