Job DescriptionCohen & Company Inc. is seeking a full‑time, highly organized and proactive Receptionist/Office Assistant. This role is essential in ensuring smooth day‑to‑day operations across multiple departments located in our offices in New York City. The ideal candidate will be detail‑oriented, resourceful, attentive, an enthusiastic team member, and comfortable managing multiple administrative tasks simultaneously in a fast‑paced environment.
Key Responsibilities- General Office Support
- Maintain cleanliness and organization of common areas, including kitchens and meeting rooms.
- Restock office supplies and pantries regularly and preemptively, and manage food, beverage, and office supplies inventory floor wide.
- Meeting Room Management
- Keep conference rooms well‑stocked and presentable across entire floor.
- Prepare rooms for meetings with attention to detail, including catering set up as necessary.
- Book and manage meeting room calendars.
- Keep meeting room reservations current and resolve any scheduling conflicts that arise.
- Visitor Management
- Register guests in a timely, accurate manner.
- Issue and track visitor badges and coordinate with building security.
- Greet guests at Reception and direct to appropriate destinations.
- Mail & Packages
- Sort mail by department and deliver accordingly.
- Manage outgoing mail and package shipments.
- Assist with farm deliveries using freight elevator and dolly.
- Office Supplies & Swag
- Monitor and order supplies as necessary.
- Order and manage office equipment as necessary.
- Maintain swag inventory and sign‑out sheet for swag items.
- Other
- Perform additional duties as needed to support office operations.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Outlook and basic Zoom setup.
- Ability to lift and transport items (food and beverage deliveries, office supplies, etc.)
- Demonstrates attention to detail and consistently provides exceptional hospitality to staff and visitors alike.
- Must be available to work onsite at NYC office.
- Five (5) days a week in office.
