Program Administrator, Family Life and Learning
Position Overview:
The Program Administrator reports to the Director of Family Life and Learning and provides administrative, operational, and financial support for the department’s wide range of programs and educational initiatives. The ideal candidate is highly organized, detail‑oriented, and collaborative, with strong administrative and data management skills, and a passion for Jewish living and learning.
Responsibilities include, but are not limited to:
Program & Administrative Support- Logistics & Operations: Manage back‑end program planning; submit communication and facility requests; coordinate event setup, catering, and vendor deliveries with the Operations team.
- Calendar & Supply Management: Maintain internal and external FLAL Google Calendars; inventory, order, and organize all program supplies.
- Registration & Communication: Oversee program registration, liaise with community members on registration needs, and collaborate with Communications to update website event pages.
- Event Staffing: Provide on‑site administrative and logistical support during events (e.g., Friday night dinners, holiday programs).
- Registration & Data: Maintain accurate student rosters and registration data; collaborate with Salesforce, Communications, and Finance teams.
- Program Logistics: Partner with the Associate Director to organize classrooms, distribute teacher supply requests, and design visual materials (calendars, signage).
- Attendance Tracking: Monitor and track attendance for students, teachers, and teen helpers; flag ongoing student absences for leadership.
- Expense Management: Track department expenses in spreadsheets and process invoices, credit card payments, and reimbursements.
- Payment Coordination: Collaborate with the FLAL team and Finance department to ensure timely and accurate tracking and payment of teachers, service leaders, vendors, and contractors.
- 1–3 years experience in program or office administration; bachelor’s degree preferred.
- Proven experience with data management, financial tracking, and office administration.
- Highly organized and detail‑oriented.
- Passionate about Jewish living and learning, with a fun, creative, and enthusiastic approach.
The position is full‑time (40 hours per week), year‑round, with in‑office requirements on Tuesdays (when Kadima is in session), Wednesdays or Thursdays (depending on meeting schedules), and on Shabbat when specific programs occur. Flexibility to work non‑traditional hours, including evenings and weekends, is required.
Compensation and BenefitsAnnual salary range: $60,000 to $65,000. Benefits include highly subsidized medical, dental, and vision insurance; vacation and sick days; over 20 paid national and Jewish holidays; a 403(b) retirement plan; and additional benefits.
