The Senior Executive Assistant provides high-level administrative and operational support at the center of the Executive Office, working in close partnership with the Executive Assistant and reporting into the Chief of Staff. This is primarily an in-person role based at the GIIN's Lower Manhattan office, with an option to work remotely two days of the week. This is an excellent opportunity for a senior-level Executive Assistant seeking a dynamic role with meaningful responsibility, exposure, and room for growth.

This role supports the Executive Office, currently partnering with a team of four executives, and is responsible for ensuring the effective day-to-day functioning across executive priorities. The Senior Executive Assistant will proactively manage complex calendars, coordinate travel and meetings, and help executives prioritize their time to maximize impact. They will serve as a key partner in implementing executive preferences and decisions, maintaining strong communication and alignment across the Executive Office.

The Senior Executive Assistant will work in close coordination with, and provide day-to-day direction to, the Executive Assistant—helping prioritize workflows, delegate tasks, and ensure consistent, high-quality support across the Executive Office. This role also partners closely with the Chief of Staff to align on priorities and execution.

In addition, the role plays a central part in maintaining strong board relations by supporting scheduling, materials coordination, board platform management, and other administrative needs related to Board engagement.

The Senior Executive Assistant is responsible for ensuring smooth executive operations, including expense management, meeting logistics (virtual and in-person), and support for key internal and external relationships.

Beyond core executive support, this role will take on special projects and contribute to broader office operations as needed, including ad hoc office management needs, staff engagement activities, and other discrete initiatives. The individual will be an active contributor to a collaborative, team-oriented office environment.

CORE COMPETENCIES AND POSITION SCOPE

Responsibilities include:

Executive Office Support & Coordination
  • Provide high-level administrative support to executives, including complex calendar management, correspondence, document drafting/editing, expense reporting, and meeting preparation (agendas, materials, notes).
  • Serve as a central point of coordination across the Executive Office, driving alignment on priorities, schedules, and follow-ups.
  • Maintain effective gatekeeping practices to prioritize executive time and ensure schedules are optimized and adhered to.
  • Communicate proactively with executives, the Chief of Staff, and key stakeholders regarding scheduling changes, upcoming commitments, and competing priorities.
  • Support the research, prioritization, and follow-up of incoming issues and requests, including those of a sensitive or confidential nature.
Executive Assistant Coordination & Workflow Management
  • Work in close partnership with the Executive Assistant (EA) to manage workflows, prioritize tasks, and provide seamless support across the Executive Office.
  • Provide day-to-day direction to the EA, delegating work as appropriate and supporting strong execution and professional development.
  • Collaborate with the EA to resolve scheduling conflicts and competing priorities in alignment with Executive Office objectives.
Board Relations & Governance Support
  • Support preparation for and execution of Board of Directors activities, including scheduling, materials coordination, and meeting logistics.
  • Manage board-related administrative processes, including board platform management and documentation, ensuring accuracy, efficiency, and strict confidentiality.
  • Help maintain and improve processes related to Board engagement and governance workflows.
Operations, Systems & Process Improvement
  • Manage and track legal workflows and contract processes end-to-end, supporting timely progress, stakeholder coordination, and strong documentation practices.
  • Identify and implement process improvements across administrative, legal, and operational workflows.
  • Maintain strong data hygiene and organization across systems, including SharePoint, Salesforce, and Outlook (calendars and contacts).
