The Timesheet / Pre‑Billing Specialist is responsible for reviewing and processing caregiver timesheets and ensuring all client visits are accurately documented and prepared for billing. This role plays a critical part in revenue cycle operations by verifying visit data, resolving discrepancies, and updating pre‑billing systems so services can be billed promptly and in compliance with payer and agency requirements.
Key Responsibilities- Review and validate caregiver timesheets to ensure all visits are accurately recorded (dates, times, services).
- Confirm visits align with authorized care plans, schedules, and payer requirements.
- Identify, investigate, and resolve discrepancies such as missed clock‑ins/out, incomplete documentation, or unauthorized hours.
- Communicate with caregivers, coordinators, and supervisors to obtain corrections or missing information.
- Update and maintain pre‑billing systems to ensure visits are ready for billing.
- Ensure all required pre‑billing is completed and compliant prior to billing submission.
- Maintain organized and accurate records of timesheets, visit verifications, and billing support documentation.
- Assist with audits by providing necessary reports and supporting documents.
- Collaborate with coordination, payroll, and billing teams to ensure seamless workflow and accuracy.
- High school diploma or equivalent.
- 1–3 years of experience in home care and timesheet processing.
- Strong attention to detail and ability to identify discrepancies.
- Familiarity with EVV (Electronic Visit Verification).
- Proficiency in Microsoft Excel.
- Excellent organizational, communication, and time management skills.
- Home Health Care Experience.
- Experience with HHAeXchange.
- Experience with HHA/PCA timesheets and EVV verification.
- Ability to work in a fast‑paced, deadline‑driven environment.
- Proficiency with Microsoft Office 365 applications (Outlook, Excel, Word).
