Data and Contract Coordinator to join our team!
The Data and Contract Coordinator supports Skill Spring operations by managing the data, documentation, and reporting functions necessary to fulfill the requirements of foundation, city, state, and federal grants and contracts. This role ensures accurate financial and programmatic reporting, supports compliance with funder requirements, and maintains systems for tracking grant deliverables and contract expenses. The Coordinator plays a key role in documenting and reconciling all expenses tied to public funding, ensuring that Skill Spring can report clearly and confidently on its use of resources.
Additionally, this position helps monitor program quality and alumni success by using data to track key milestones, identify areas for improvement, and ensure consistent outreach to Skill Spring alumni at 3-month, 6-month, and 12-month intervals.
Key Responsibilities- Maintain accurate and timely documentation of grant- and contract-related expenditures, deliverables, and outcomes for city, state, federal, and philanthropic funders.
- Support internal stakeholders in preparing for audits, monitoring visits, and interim/final reports by compiling required financial and programmatic documentation.
- Collaborate with Finance, Development, and Program teams to track contract budgets and ensure expenses align with allowable cost categories.
- Enter and manage data in funder-specific platforms (e.g., DYCD Connect, Work-source1, NYC Talent Apprenticeship Accelerator) and internal systems (e.g. City Span) to support grant compliance and reporting.
- Analyze and prepare data for funder reports and other communications.
- Develop, maintain, and optimize reporting dashboards to track contract milestones, deliverables, and alumni engagement across multiple funders and cohorts.
- Use data to monitor program outcomes, identify trends, and support continuous quality improvement in real-time.
- Ensure alumni follow-up outreach is conducted at 3-month, 6-month, and 12-month intervals by maintaining contact tracking systems and coordinating with program staff.
- Use data to monitor CNA testing outcomes and ensure that participants who do not pass the exam receive support and opportunities to retake it.
- Track graduate employment outcomes and collaborate with program staff to ensure Skill Spring alumni are supported in securing jobs post-graduation.
- Assist in preparing recurring and ad hoc reports for Skill Spring leadership, external funders, and regulatory agencies.
- Support process improvements to streamline data entry, documentation, and contract tracking procedures.
- Help monitor timelines and submission deadlines to ensure compliance with funder and internal requirements.
