Role

Description:

The Executive Administrative Assistant is a full-time, on-site role based in Manhattan. This position supports senior leadership by managing calendars, scheduling meetings, coordinating travel, and preparing agendas and materials. The role involves handling phone calls and correspondence, organizing and maintaining electronic and physical files, and assisting with expense reports and basic office operations. The Executive Administrative Assistant ensures smooth day-to-day administrative workflows, prioritizes tasks, and acts as a key point of contact between executives, internal teams, and external partners.

The individual in this role is expected to maintain confidentiality, demonstrate professionalism, and contribute to an organized and efficient office environment.

Qualifications

  • Strong Administrative Assistance and Clerical Skills, including calendar management, document preparation, and file organization.
  • Experience in Executive Administrative Assistance, supporting senior leaders with scheduling, travel coordination, and meeting logistics.
  • Excellent Phone Etiquette and Communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
  • High level of attention to detail, time management, and ability to prioritize multiple tasks in a fast-paced environment.
  • Proficiency with office productivity tools (e.g., email, calendaring apps, spreadsheets, presentation software).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Prior experience in a technology or startup environment is beneficial.
  • Associate or Bachelor’s degree in Business Administration, Communications, or a related field, or equivalent practical experience.
