Senior Account Clerk
Under current New York State Law, candidates seeking employment with school districts in New York State will be required to undergo fingerprinting and a criminal history background check prior to appointment.
Distinguishing Features of the Class:
The work involves responsibility for performing clerical operations of a moderately difficult nature in connection with fiscal, budgetary, and accounting records. This job differs from that of Account Clerk in that the incumbent is responsible for maintaining varied financial records and accounts, is required to display a high degree of judgment in the carrying out of prescribed procedures, and is responsible for the supervision of clerical personnel who are assigned to assist the incumbent.
This work is performed under the general supervision of a higher ranking employee. Does related work as required.
Typical Work
Activities:
- Posts entries to journals and ledgers where classification problems of difficulty are involved;
- Keeps an extensive set of ledger accounts;
- Makes up, checks, and sends out bills;
- Classifies and distributes claims;
- Takes trial balance;
- Collects, records, safeguards, and deposits cash;
- Makes up payrolls;
- Maintains records of payroll changes;
- Audits vouchers for accuracy prior to payment;
- Assists in compiling data for annual financial reports;
- Checks financial reports as to accuracy and completeness;
- Requisition s, receives, stores, records, and issues office and other supplies;
- Gives information to the public, either personally or by telephone;
- Maintains a complex filing system;
- May prepare and process purchase requisitions and/or purchase orders;
- May participate in preparation and solicitation of bids, obtains quotations;
- May contact vendors on order placement and pricing;
- May create and maintain EDP files of purchasing functions; i.e. pricing, vendor performance, outstanding orders, vendor numbers, etc.;
- May maintain purchase records and records relating to annual agreements;
- May supervise a small number of clerical staff members involved in financial records keeping procedures;
- May assist in writing procedures for staff;
- Utilizes enhanced computer systems and equipment in the completion of assigned clerical tasks.
Full Performance Knowledges, Skills, Abilities and Personal Characteristics:
Thorough knowledge of the current methods of maintaining and checking financial accounts and records; good knowledge of accounting procedures; good knowledge of business arithmetic; good knowledge of office terminology, procedures, and equipment; ability to make arithmetic computations rapidly and accurately; ability to operate a micro-computer and/or computer terminal; resourcefulness; dependability; physical condition commensurate with the demands of the position.
Minimum Qualifications:
(A) Graduation from a regionally accredited or New York State registered two (2) year college or university with an Associate's degree in Accounting or Business, and one (1) year of experience in the maintaining of financial records and accounts; OR: (B) Graduation from high school or possession of a high school equivalency diploma and three (3) years of business or office experience, of which one (1) year must have involved the maintaining of financial records and accounts;
OR: (C) An equivalent combination of training and experience as defined by the limits of (A) and (B).
