Job Description:
The Experiential Learning (EL) Coordinator provides administrative support for the Division of Experiential Learning at Siena University, supporting the Center for Academic Community Engagement, The Mac Donnell Career and Internship Center, the Center for International Programs, and the Center for Undergraduate Research and Creative Activity.
Main Responsibilities:- Administrative Support:
Manage the EL division general email accounts, maintain calendars and scheduling, coordinate mail merges and notifications, assist with reporting, prepare and process documents, and order office supplies. - Communications:
Serve as a key point of contact for students, parents, staff, and faculty, responding to inquiries via phone, email, and in person, and assist with social media campaigns and website updates. - Event Management:
Reserve, manage, confirm, and track all room reservations, catering, technology, and transportation needs for events. - Database Management:
Perform data entry tasks in Banner 9, Basecamp, Google databases, and other systems. - Budget Assistance:
Process invoices, billing, check requests, purchase orders, expense reports, stipends, deposits, petty cash, credit card requests, and work‑study payroll; reconcile and audit budgets. - Office Functions:
Manage work orders, print shop orders, facilities, and related tasks. - Marketing Support:
Assist the EL Division team in updating publications and social media accounts. - Project Assistance:
Support the EL division senior management team on assigned projects.
Minimum Qualifications:
- At least 1 year of administrative support experience in a client-facing, service-oriented office environment.
- Strong communication skills and tact to interact responsibly with internal and external constituencies.
- Proven budget and organizational skills.
- Self‑motivation and creativity to manage multiple projects concurrently in a dynamic, fast‑paced environment.
- Familiarity with Banner 9.
- Curiosity and interest in the benefits of experiential learning in the undergraduate journey.
Pay Rate: $21.41 per hour – this represents the University's good faith estimate at the time of posting in compliance with the Albany County Salary Transparency Law.
