Key Responsibilities Executive and Calendar Support- Own the calendar for the CMO, proactively managing conflicts, protecting priorities, and staying one step ahead.
- Working with the Chief of Staff, support distribution of briefing materials and coordinate logistics for meetings, team calls, and leadership sessions.
- Book and manage complex domestic and international travel — flights, hotels, ground transportation, and itineraries — with precision and contingency thinking.
- Maintain travel tracking and handle changes, cancellations, and last‑minute pivots without missing a beat.
- Prepare and submit expense reports accurately and on time.
- Support planning and execution of team events, offsites, leadership dinners, and internal gatherings — handling venue sourcing, catering, AV, run‑of‑show, and on‑site coordination.
- Bring a hospitality mindset to every event and interaction: anticipate what's needed, sweat the details, and create experiences that feel effortless to the people in the room.
- Work with the Chief of Staff and Marketing Operations team to support external‑facing moments — agency meetings, partner visits, executive presentations — ensuring the environment and logistics reflect well on the team.

- 3+ years of experience supporting high‑volume senior leaders in an executive assistant, office coordinator, hospitality, events, or similar role.
- Event planning or hospitality experience — formal or informal. You've planned something that had moving parts and made it look easy.
- Strong Microsoft Office skills — Word, PowerPoint, Excel, Outlook. Comfortable building a clean deck or a tracking spreadsheet from scratch.
- Comfort with AI tools — familiarity with Claude, Microsoft Copilot, or similar AI assistants to help draft communications, summarize information, and move faster on everyday tasks.
- Exceptional organizational skills and the ability to manage multiple competing priorities without dropping anything.
