Executive Operations

Partner directly with a senior executive to maximize organizational effectiveness, drive strategic initiatives, and ensure priorities are executed seamlessly across the business.

About the Role

We are seeking a highly organized, strategic, and proactive professional to serve as the right hand to a senior executive. While calendar management and scheduling are core components of the position, this role goes far beyond traditional executive support.

The ideal candidate understands how to prioritize competing demands, anticipate challenges before they arise, and create structure around an executive's time and decision-making. You will become an extension of the executive, helping manage communication, drive accountability across teams, and ensure key initiatives continue moving forward.

This role is ideal for someone who enjoys solving problems, building processes, and operating at the intersection of strategy, operations, and executive support.

Responsibilities Executive Operations & Strategic Partnership
  • Act as a trusted partner to the executive, helping prioritize initiatives, manage competing demands, and maximize organizational effectiveness.
  • Serve as a gatekeeper for the executive's time by evaluating priorities, anticipating scheduling conflicts, and proactively making recommendations.
  • Ensure meetings are purposeful by establishing agendas, preparing briefing materials, tracking action items, and driving follow-up.
  • Monitor ongoing initiatives and ensure commitments are completed on schedule across internal teams.
Calendar & Time Management
  • Manage an extremely complex calendar across multiple time zones, balancing internal meetings, client engagements, board meetings, investor meetings, conferences, and travel.
  • Continuously optimize the executive's schedule based on changing priorities rather than simply accepting meeting requests.
  • Build efficient meeting cadences that maximize productivity and minimize unnecessary interruptions.
Executive Communications
  • Interface regularly with senior executives, investors, clients, board members, and external partners with professionalism and discretion.
  • Draft correspondence, prepare presentations, meeting materials, briefing documents, and executive summaries.
  • Coordinate communication between departments to ensure alignment and accountability.
Project & Business Management
  • Coordinate cross-functional projects and strategic initiatives from planning through execution.
  • Develop systems and workflows that improve operational efficiency.
  • Identify bottlenecks, solve problems proactively, and recommend process improvements.
  • Assist with special projects, research assignments, and business initiatives as priorities evolve.
Travel & Administrative Leadership
  • Coordinate complex domestic and international travel, including detailed itineraries and meeting logistics.
  • Manage expense reporting and administrative workflows.
  • Handle highly confidential business and personal matters with discretion.
Qualifications for the Chief of Staff / Executive Operations
  • Bachelor's degree preferred.
  • 7+ years supporting C-level executives, founders, or senior investment professionals in a Chief of Staff, Executive Operations, Strategic Executive Assistant, or comparable role.
  • Demonstrated ability to think strategically while executing flawlessly.
  • Exceptional calendar management experience involving multiple stakeholders, competing priorities, and rapidly changing schedules.
  • Outstanding organizational, communication, and project management skills.
  • Proven ability to anticipate needs rather than react to requests.
  • Strong business judgment with the confidence to challenge priorities when appropriate.
  • Advanced proficiency in Microsoft Office, Outlook, PowerPoint, Excel, and collaboration platforms.
  • Highly resourceful, detail-oriented, and comfortable working in a fast‑paced, entrepreneurial environment.
