Responsibilities
Manage Outlook calendars and handle all scheduling matters across time zones and balancing travel and meeting needs. Coordinate and update any meeting request changes that occur during the day, with a deep understanding of priorities and stakeholders critical to accommodate. Prepare and manage any correspondence, reports, presentations, etc. as needed. Provide the needed administrative support to ensure effective and efficient meeting and event planning.
Assist as needed with annual off‑site, strategy sessions and team‑building events, including logistics, meeting management and partnership with event vendors, and all scheduling needs (preparation meetings, rehearsals, day‑of, etc.). Prepare and organize itineraries for incoming visitors/retailers. Provide temporary administrative support when needed to visiting executives. Coordinate complex domestic and international travel arrangements and detailed itineraries, troubleshooting travel issues as they arise (on call as needed).
Ensure seamless coordination during regular travel to corporate offices and key business locations; oversee end‑to‑end logistics for in‑office weeks, ensuring all accommodations, transportation, and scheduling needs are proactively managed. Manage incoming bills and statements related to expense report processing.
Must have at least 10 years previous experience as an Administrative Assistant, progressing into an Executive Assistant role in a busy, fast‑paced corporate environment supporting EVP/C‑Suite leaders. Exemplary professionalism, diplomacy and discretion when handling matters of a confidential nature. Ability to remain calm under pressure, and a commitment to excellence are required. Highly developed customer service skills. Highly detail‑oriented, while also being able to grasp the big picture, connecting the dots along work streams and communication cadences.
Ability to proactively anticipate needs and potential problems and take independent action as appropriate using good judgment and discretion to resolve issues. Ability to work well in a collaborative environment, interacting effectively with all levels of employees. Ability to work with minimal supervision, set goals, create and implement action plans and monitor progress towards goals. Excellent verbal & written communication and organizational skills.
Excellent follow‑up and follow through; results‑oriented with the ability to make clear and timely decisions, completing assignments and requests within deadlines. Strong computer skills are essential; must be proficient using the Microsoft Office Suite, including Teams, as well as Zoom and other videoconferencing technology.
