Responsibilities

Reporting to the Associate Dean of Programs and Innovations of Professional and Continuing Studies (PCS), the Senior Department Assistant provides high-level administrative and operational support to the PCS’s Enrollment Team. The role coordinates student enrollment processes, schedules academic advising sessions, manages new-student orientation logistics, and maintains communication among prospective students, advisors, and enrollment staff. The position ensures efficient workflow in the enrollment office and helps maintain a positive, organized experience for prospective and incoming students.

It may require evening and weekend work, auxiliary coverage, and occasional travel to or assignment at other campuses for additional training.

Essential Functions
  • Contributes to a welcoming and helpful environment for students, faculty, and staff.
  • Prepares mailings to prospective students, applicants, admitted students, and external community contacts as needed.
  • Manages calendars for the Associate and Assistant Deans autonomously, scheduling appointments with prospective, new, current, and transfer students as needed.
  • Provides support before and during PCS events, including information sessions, orientations, and industry events.
  • Maintains privacy and discretion for confidential documents, including transcripts, immunization records, military records, and disciplinary actions, and processes confidential information in compliance with FERPA.
  • Processes approved requests for payments for contracts, expense reimbursement requests, credit card statements, check requests, vendor invoices, subscriptions, and other items.
  • Generates reports and researches/collects data as requested.
Additional Functions
  • Files, copies, scans, and distributes documents in paper and electronic media.
  • Schedules rooms for meetings and conferences as needed.
  • Purchases office supplies and provides clerical, telephone, scheduling, and computer support for all deans, faculty, and staff at the campus, including front-desk reception.
  • Manages specified centralized tasks for the college across three campuses.
Required Qualifications

Education and Experience

  • High School Diploma or equivalent.
  • Minimum of two years of clerical/office experience.

Knowledge and Skills

  • Proficiency in MS Office and Google Suite, with an aptitude for emerging technologies.
  • Ability to address the needs of students, faculty, and senior administrators in a calm, courteous, diplomatic, and professional manner.
  • Detail-oriented and able to multitask, with a willingness to take initiative.
  • Strong customer service orientation and ability to work within a diverse community.
  • Sensitivity to confidentiality.
  • Strong writing and organizational skills.
  • Mandatory competency testing.

Preferred Qualifications

  • Bachelor’s degree strongly preferred.
  • Knowledge of Slate / Banner systems or comparable university student/CMS systems a strong plus.
Salary

Minimum biweekly salary for all applicants: $2,269.60. Maximum biweekly salary for all applicants: $2,269.60.
