This position performs clerical and daily office operations within various academic and administrative departments of a diverse University environment. Persons in this position are accountable for rendering quality services in a respectful, courteous and professional manner. Campus Specific InformationHostos Community College seeks applications to fill multiple vacancies in academic and administrative offices.
DutiesThe CUNY Office Assistant will perform administrative/office duties. Typical duties include, but are not limited to the duties listed in the CUNY link above in addition to the following:
- Prepares and processes personnel actions (E-Pars) for the department.
- Responsibilities include typing, printing, scanning, and making copies.
- Prepares communication (emails, letters, memoranda, etc.) and reports as needed.
- Maintains files and records.
- Prepares and manages spreadsheets.
- Schedules appointments and meetings. Manages department calendar.
- Provides quality customer service including answering phones, and serving visitors, faculty and students.
- Assists with arrangements for special events (e.g., conferences, reservations of rooms, travel arrangements, catering services, informing the relevant departments/units, etc.).
- Interviews and supervises College Assistants, College Work Study Students, Student Aides, Summer Interns, Volunteers, etc.
- Processes purchase orders and supply orders; verifies deliveries.
- Tracks inventory and supplies and prepares orders accordingly.
- Assists with timekeeping.
- Monitors expenses.
- May assist with any other administrative duties as needed.
- Essential duties require in-person work.
Proof of meeting requirements 1 and 4 is needed before the close of a Civil Service Examination filing period. You may be asked to provide proof of meeting these requirements at any time between your application and the close of the filing period.
- Completion of two (2) years of full-time equivalent experience which may be met by one of the following:
- Two years of employment in general office work.
- College credits from an accredited institution of higher education (equivalent of one year of experience).
- 60 college credits from an accredited institution of higher education (equivalent of two years of experience).
- High School Diploma or GED.
- Passage of a qualifying Work Experience Test.
- English language proficiency. Candidates must speak, read, write, and understand English well enough to meet minimally acceptable performance standards set for job tasks. English proficiency will be evaluated at the time of interview.
- Candidates must take and pass a job-related Civil Service Examination that measures critical competencies for the position.
- Candidates must undergo a background check, including a fingerprint screening and a verification of their education and work history.
- Additionally, candidates may be asked to demonstrate technical competence in using job-related software (e.g., word processing or other).
The following qualifications are preferred:
- Experience working in higher education setting.
- Experience with CUNYfirst, Brightspace, and other related CUNY systems.
- Experience working with diverse populations in a fast-paced environment.
- Availability to work evening or weekend hours for special projects.
- Candidates selected for the position will be required to complete a typing test as part of the selection process.
New Hire: $36,700*
Incumbent: $41,472
- This amount reflects a 13% salary suppression in effect for the first 24 months of employment only.
