Reporting to the Director of Enrollment Management, the EOA is an adept project manager and team player who will work closely with the Enrollment Office to manage daily operations and run point on the myriad of events central to the enrollment and admissions process at Brooklyn Friends School. This individual will collaborate across many departments to share the story and spirit of the school.
The EOA will assure the day‑to‑day operations of the Enrollment department run smoothly and efficiently. The position is part‑time, working 20 hours per week for 8 months of the year (mid‑August through mid‑April). The weekly work schedule is determined by the Director of Enrollment Management and may fluctuate, including night or weekend hours to support enrollment events.
- Provide administrative support to the enrollment team, including calendar management, scheduling of tours, interviews, or visits, meeting coordination, and preparation of materials for internal and external meetings.
- Serve as a liaison between families and the enrollment team, handling inquiries appropriately and ensuring consistent, professional, and timely follow‑through.
- Process, record, scan, upload, and track all applications and associated materials, ensuring accuracy, completeness, and timely documentation.
- Maintain and update the admissions, retention, and enrollment databases, ensuring all records are up‑to‑date and accurate.
- Generate reports for the enrollment team and leadership team as needed.
- Support annual enrollment goals in a mission‑centered manner, with a keen understanding of the BFS core values of diversity and community.
- Interview and tour prospective families on an as‑needed basis.
- Maintain the general upkeep of the Enrollment Office space and supplies.
- Coordinate all Enrollment Office events throughout the year, including open houses, prospective parent events, yield and retention events, and new family welcome events. Key event responsibilities include:
- Working with the operational team (tech, facilities, maintenance, food services, etc.) to ensure enrollment events are scheduled, staffed, and resourced appropriately.
- Create, coordinate, and disseminate enrollment and admission event communications in a strategic and timely manner.
- Track RSVPs, prepare name tags, and communicate to colleagues and guests appropriately.
