About the ProgramBMIRH’s Infant Mortality Action Team (IMAT) is conducting a pilot project to monitor all Sudden Unexpected Infant Deaths (SUID) in New York City and use the data to guide an Action Team that recommends improvements to programs and scale‑up.
About the RoleThe Department seeks an enthusiastic, motivated Project Assistant to support administrative and coordination tasks of the IMAT project. This grant‑funded, part‑time, temporary position is located at the DOHMH office in Long Island City. The candidate will work up to 2 days a week during 9am‑5pm, with minimal travel within NYC boroughs.
This position reports to the Deputy Director of IMAT within the Research and Evaluation Unit of BMIRH and works closely with the Director of Research and Evaluation, the Executive Director for Maternal and Child Health, and other team members.
Responsibilities- Training and Orientation
- Complete required DOHMH CITI training online course.
- Receive orientation to BMIRH’s IMAT project and SUID surveillance work.
- General Administrative Support
- Support management of consultants and other IMAT project activities.
- Assist with project implementation plan and tracking systems.
- Arrange meetings, prepare agendas, and take meeting notes.
- Field abstractor queries on data abstraction with supervisor guidance.
- Liaise with the Fund for Public Health (FPHNY) to ensure consultant payments are completed.
- Assist with data entry as requested.
- Assist in Creation and Coordination of IMAT Action Team
- Develop community action team protocols and foundational documents for recruitment.
- Recruit community action team members.
- Disseminate application materials and invites.
- Review applications with team members.
- Collaborate with the Action Team Facilitator and Executive Director on the strategic plan and related documents.
- Prepare administrative materials and follow up on in‑person community action team meetings.
- Design and maintain tracking documents for action team membership and meetings.
- Maintain updated listservs and governance documents for meetings.
- Coordinate invoicing for consultants, temporary staff, and vendors across multiple funding streams and ensure payment.
- Perform other duties as assigned to support overall department and organizational goals.
- Commitment to advancing infant health, reproductive justice, and health equity.
- Exceptional written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Experience organizing small‑ and large‑scale, high‑level meetings.
- Proficiency with MS Office suite, including Word, Excel, PowerPoint, and Access.
- Comfortable working in a fast‑paced, collaborative, interdisciplinary environment.
- Experience handling highly sensitive personal health information and maintaining strict confidentiality protocols (preferred).
Employment is contingent upon successful completion of a background check.
This position will be hired through a staffing agency. Benefits and paid holidays are not included.
