Administrative Executive Associate – Central Office, Full-Time
Position OverviewProvides high-level administrative, operational, and strategic support to the Vice Chancellor’s office, managing complex workflows, executive activities, and high-impact initiatives in a fast-paced environment.
Responsibilities- Directly support the Vice Chancellor’s leadership team by coordinating priorities, streamlining workflows, and ensuring effective execution of office-wide initiatives.
- Assess, prioritize, and escalates issues to UHR leadership, determining proper courses of action and facilitating timely resolution.
- Manage the Vice Chancellor’s calendar, coordinate meetings and events (virtual and in-person), and collaborate with Chancellery, union leadership, and service partners.
- Oversee administrative operations and logistics for executive meetings, events, speeches, and appearances, including partnering with internal and external stakeholders.
- Secure venues, manage event logistics, and prepare agendas, communications, and materials.
- Manage vendor relationships and payments, and partner with IT for event-related technology needs.
- Support procurement activities, ensuring compliance with CUNY financial policies, reconcile credit cards, invoices, and procurement processes.
- Manage and coordinate communications on behalf of the Vice Chancellor and UHR.
- Proactively optimize the Vice Chancellor’s time by anticipating priorities, resolving scheduling conflicts, and aligning activities with organizational goals.
- Maintain office records and oversee record retention for the Vice Chancellor’s Office.
Minimum:
- Bachelor’s Degree and six years of relevant experience.
Preferred:
- Experience providing high-level support within an executive leadership environment, preferably in a Vice Chancellor or comparable office.
- Strong technical proficiency, including data analysis and reporting, and experience with enterprise systems such as Workday.
- Exceptional organizational and project management skills, with ability to manage multiple priorities and meet deadlines with minimal supervision.
- Strong analytical, critical thinking, and problem‑solving abilities with high attention to detail.
- Proactive, flexible, service-oriented approach, with strong interpersonal skills and ability to work across a multi‑stakeholder environment.
- Excellent written and verbal communication skills, including development of executive-level materials and facilitation of meetings.
- Proven ability to support operational, administrative, and strategic needs of a Vice Chancellor’s Office, including coordination of cross-functional initiatives and executive communications.
The salary range is $98,995 - $109,898
, commensurate with credentials, education, and experience. CUNY offers health plans, retirement/pension benefits, tuition waivers, and paid time off, among other benefits.
