Position Summary

Secretary I-Intake/Scheduler (FGP) – Manhattan, Child+Adol Psy.

Job Responsibilities
  • Schedule appointments for visits, treatments, and procedures.
  • Review appointment confirmations and manage waitlists.
  • Communicate with patients regarding upcoming visits, including instructions and forms.
  • Obtain authorizations for services as needed.
  • Answer calls, take messages, and forward inquiries to appropriate contacts.
  • Handle faxes and mail, prepare standard letters and forms, and maintain electronic records in Epic.
  • Assist in physician calendar management, including sending calendar invites.
  • Release medical records in accordance with HIPAA and institutional procedures.
  • Process prescription refill requests and coordinate with RN/LPN/Provider.
  • Initiate and follow up on pre‑authorizations, appeals, and peer‑to‑peer communication.
  • Maintain cleanliness of waiting areas and restock supplies as needed.
  • Provide patient access support, including greeting patients, collecting information, and directing requests to appropriate staff.
  • Promote use of MyChart and promote the NYU Langone Health brand through excellent patient interactions.
  • Participate in patient experience initiatives such as the LEARN model and CARES strategy.
  • Assist with special projects, reports, and other duties as directed by supervisors.
Minimum Qualifications
  • High School Diploma.
  • Excellent organizational, interpersonal, and verbal/written communication skills.
  • Strong customer‑service orientation.
  • Basic computer skills:
    Word processing, spreadsheets, databases, and internet applications.
  • Light, accurate keyboarding.
  • Capacity to multitask and work effectively in a team environment.
Preferred Qualifications
  • Intermediate knowledge of computer‑based scheduling and appointment programs.
