Administrative Assistant
Facility: Nursing & Rehabilitation Center
Location: Westchester County, NY
Shift: Full Time - 9am-5pm
Pay Rate: $20–$24 per hour
We are seeking a dedicated, organized, and detail-oriented Administrative Assistant to support our Nursing Department and contribute to the smooth daily operation of our facility. This role is ideal for an experienced administrative professional who thrives in a healthcare environment and enjoys supporting a collaborative clinical team.
Key Responsibilities- Answer and direct incoming calls while accurately documenting and relaying messages
- Organize and maintain files, records, and office systems within the Nursing Department
- Manage incoming and outgoing department mail and distribute correspondence appropriately
- Communicate relevant information across departments and redirect inquiries as needed
- Prepare and type correspondence, reports, memos, manuals, and other documentation
- Interact professionally with vendors, agencies, healthcare partners, and visitors
- Assist with nursing department payroll preparation in the absence of the Staffing Coordinator
- Coordinate annual employee health assessments for nursing staff
- Order and maintain office supplies and resources
- Maintain confidentiality of personnel records and departmental information
- Greet and assist visitors, employees, residents, and family members seeking the Director of Nursing Services
- Provide administrative support for departmental projects and operational needs
- Minimum of 3 years of experience in a nursing home, rehabilitation center, or healthcare setting
- At least 2 years of experience using Sigma Care (Cigma)
- Experience with EMR systems
- Knowledge of scheduling transportation for patients and residents
- Strong organizational, communication, and multitasking skills
- Ability to maintain confidentiality and professionalism at all times
- Proficiency in Microsoft Office applications
