Pay Rate: $19–$23 per hour, based on experience

  • Schedule:

    Monday–Thursday | 9:00 AM – 5:00 PM
  • Monday–Friday | Half-Day Fridays
Job Overview

We are seeking a professional and highly organized Bilingual Administrative Assistant to support daily office operations in Mahopac, NY. This role is ideal for someone who enjoys working with people, managing multiple administrative tasks, and providing exceptional support to both staff and visitors.

The ideal candidate is fluent in both Spanish and English, has strong organizational skills, and thrives in a fast-paced office environment.

Responsibilities
  • Welcome visitors and provide professional front desk support
  • Answer incoming calls, route inquiries, and take messages
  • Manage calendars, appointments, and meeting schedules
  • Assist with data entry, recordkeeping, and general office administration
  • Support order entry and maintain inventory records
  • Coordinate meetings and prepare related materials
  • Maintain office supplies and assist with administrative projects
  • Proofread documents and correspondence for accuracy
  • Organize and maintain digital and paper filing systems
  • Handle confidential information with professionalism and discretion
Qualifications & Skills
  • Fluent in Spanish and English (required)
  • Previous administrative assistant, receptionist, or office support experience preferred
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Familiarity with Google Workspace (Docs, Sheets, Drive) preferred
  • Quick Books or other accounting software experience is a plus
  • Strong organizational, multitasking, and communication skills
  • Excellent attention to detail and follow-through
  • Experience in a medical office environment is helpful, but not required
