Office Administrator/ Coordinator, Administrative Management
Location: New York
Responsibilities
Reporting to the Chair, the Administrative Coordinator will assist the Chair of the Dance Department in the administration of department functions, procedures, records, payroll, budgets, expenditures, requests and orders of support and supplies. The role encompasses the following duties:
- Develop and maintain efficient office procedures and methods.
- Manage departmental budgets in coordination with the Chair.
- Produce and distribute key, complex management documents and reports with a high degree of accuracy. This includes personnel matters (hiring, payroll, faculty appointments/re-appointments), academic scheduling, budget projections and allocations.
- Process award payments and Independent Contractor agreements.
- Administer special projects, events, and initiatives to improve unit effectiveness.
- Supervise and coordinate clerical and part-time personnel such as office assistants and student workers.
Qualifications
- Bachelor’s degree.
- Minimum of two years’ administrative experience.
- Strong background in records management and preservation, familiarity with FERPA guidelines.
- Experience with budget management and financial reporting.
- Strong writing, editing, interpersonal, and communication skills.
- Experience with instructional technology and new technological resources applicable to the department.
- Knowledge of dance, the arts, or related fields is preferred.

- Familiarity with CUNY First and CUNY Buy is not required but highly preferred.
CUNY Title Overview
- Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
- Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.
- Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web sites; maintains department archives and collections.
- Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
- Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.
- Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
- May supervise office staff and student workers.
- Performs related duties as assigned.
Compensation and Benefits
Salary commensurate with qualification and experience ($56,720–63,003).
