Macktez is a boutique IT consulting firm based in New York City. We partner with organizations across a wide range of industries—from nonprofits and media companies to financial services firms and creative agencies. Our Operations Group keeps the business running smoothly by building and maintaining the systems, processes, and workplace that enable our Team to do their best work.
We're looking for an Office Manager to be the heart of our East Village office. You will be responsible for creating a welcoming, organized, and efficient environment for our team and visitors. You'll own our facilities, lead culture-building initiatives, and provide critical administrative support that keeps the office running day-to-day. This role reports directly to the COO and offers exposure to the day-to-day operations of a collaborative, small team that values excellence and treating colleagues and clients with care.
Responsibilities (what you'll do)Facility & Office Management
- Oversee day-to-day office operations, ensuring the workplace is organized, welcoming, and well-maintained.
- Serve as the first point of contact for office maintenance and repair requests, coordinating with building management and external vendors (custodial, HVAC, etc.).
- Manage office inventory and workspace logistics to ensure the team has what they need to work effectively.
- Coordinate office furniture layouts and space planning, including for special events.
Administrative & Financial Support
- Own general financial administrative tasks, including processing vendor invoices, tracking expenses, and recording client payments accurately. Provide administrative support to the Operations Group and Executives, including scheduling and document preparation.
- Support with recurring HR processes, such as supporting employee onboarding and maintaining personnel records.
- Help improve internal workflows and documentation to keep administrative processes efficient.
Procurement & Client Operations
- Own procurement for client and internal projects, coordinating complex technology purchases from quote through delivery.
- Maintain accurate purchasing documentation, vendor records, and order tracking.
- Coordinate shipping, receiving, staging, and delivery logistics for client equipment.
- Configure, package, and ship client devices following established operating procedures.
Team Culture & Events
- Coordinate logistics for team gatherings, including invitations, catering, supplies, room setup, and cleanup.
- Support with team communications and organizational updates to ensure everyone feels connected and informed.
Required
- 4-7 years of professional experience, ideally in an office management or administrative support capacity.
- Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
- Excellent interpersonal and communication skills; you are a welcoming face for visitors and a helpful resource for your colleagues.
- High attention to detail, particularly with facilities, budgeting, and administrative tasks.
- Experience managing external vendors and coordinating service providers.
- Proficiency with common workplace software (Google Workspace, Slack, etc.).
- Ability to work on-site in Macktez’s East Village office at least 4 days per week, including occasional evenings for events.
- Ability to lift and carry items weighing up to 30 pounds and use stairs.
Preferred
- Experience planning and executing events for groups of 20-100 people.
- Experience with bookkeeping, accounts payable, or HR administration.
- Experience creating office manuals or improving workplace operating procedures.
- A proactive, "can-do" attitude—you enjoy solving problems and making the people around you more effective.
- $65,000–$80,000 per year
