Job Overview

Goodwin’s Global Operations Team offers a unique opportunity to work with leading investors and entrepreneurs across life sciences, private equity, real estate, technology, and finance. As a Legal Secretary, you will deliver essential administrative and executive support to attorneys, paralegals, and business leaders in a fast‑paced, global environment.

Responsibilities
  • Manage complex calendars, arrange meetings, and coordinate travel for attorneys, paralegals, and business leaders.
  • Oversee meeting logistics, including booking conference rooms, registering guests, securing equipment, and arranging catering services.
  • Handle all communication modalities—calls, emails, and hard copy mail—ensuring timely and appropriate responses.
  • Prepare and process expense reports and check requests with accurate documentation.
  • Provide backup support to other secretaries, including absence coverage and overflow tasks.
  • Proofread and edit legal documents, correspondence, memos, and other communications for accuracy and clarity.
  • Assist in the preparation, management, and distribution of audit response letters and maintain organized client and administrative files in the firm’s electronic document management system.
  • Open new client and/or matter numbers, maintain matter information, perform conflict checks, and prepare engagement letters for signing via Docu Sign.
  • Facilitate time entry for attorneys and paralegals, including input, review, edit, and release of time, and support billing processes such as tracking deadlines and circulating pre‑bills.
Qualifications
  • High school diploma/GED required; college degree preferred, but not required.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational skills with the ability to manage multiple tasks and projects simultaneously.
  • Outstanding written and verbal communication skills, suitable for drafting legal documents and interacting with clients and colleagues.
  • Strong commitment to confidentiality and discretion with client and firm data.
  • Demonstrated initiative and continuous learning, with a proactive approach to improving processes and procedures.
  • Analytical mindset capable of troubleshooting and prioritizing workloads effectively.
