Office Administrator/ Coordinator, Executive Admin/ Personal Assistant, Administrative Management
Location: New York
A private family is seeking an experienced Personal Assistant / House Manager to support the principal and oversee day-to-day operations of their New York City residence. This is a hybrid role blending high-level personal support with hands‑on household management, ideal for a candidate who is nimble, quick thinking, and comfortable figuring things out independently.
The successful candidate will work closely with the principal and a longtime Chief of Staff, and will oversee on‑site household staff including housekeepers and live‑in childcare. The role also includes spearheading a rooftop pool installation project: coordinating directly with contractors and vendors from planning through completion.
The residence is a NYC penthouse, home to the principal, two young children, and a newborn arriving later this year. This is a live‑out, in‑person role based in NYC from June through December when the family is in residence; when the family relocates seasonally, the candidate will work remotely with occasional on‑site presence as needed to oversee ongoing projects and boots‑on‑the‑ground needs.
Schedule is Monday through Friday, 9am–5pm, with occasional evening or weekend availability for pressing matters. Minimal travel is required; a valid driver's license is needed, and a passport is a plus but not required.
Responsibilities include, but are not limited to:- Comprehensive calendar management, including appointments, reservations, and scheduling
- Heavy international and domestic travel booking and coordination, including detailed back‑and‑forth planning
- Managing household staff, including housekeepers and childcare, and coordinating with external vendors
- Overseeing household supply procurement, inventory tracking, and systems implementation
- Spearheading the rooftop pool installation project, including overseeing construction and vendors from start to finish
- Serving as primary on‑site liaison for repairs, installations, deliveries, and service providers
- Maintaining organized household files, records, and documentation
- Communicating clearly and concisely, with a preference for succinct, bulleted updates over play‑by‑play detail
- Advocating on the principal's behalf in negotiations and vendor relationships
- Troubleshooting urgent issues as they arise, with patience and a proactive mindset
- Providing support while traveling with the family or coordinating remotely when they are away from NYC
- Prior experience as a Personal Assistant, House Manager, or Estate Manager within a UHNW or HNW household strongly preferred
- Excellent, concise written and verbal communication skills
- Nimble, agile, and quick thinking, with a proactive, figure‑it‑out mentality
- Tremendous patience and a calm demeanor under shifting priorities
- Strong background in hospitality or service‑oriented environments preferred
- Highly organized with exceptional attention to detail and follow‑through
- Comfortable managing uniformed household staff and maintaining professional standards
- Tech‑savvy, with familiarity with smart home systems, building management/camera systems, and general consumer electronics
- Understands how to build and maintain relationships as an extension of the principal
- Valid driver's license
- Legally authorized to work in the United States
- Strong professional references required
Salary range of $150,000–$175,000, commensurate with experience. Benefits package to be discussed.
