Location: New York

Contracts Administrator – New York City (SoHo office required 2+ days per week)

Overview

The Contracts Administrator plays a key administrative role within the Legal and Business Affairs function, responsible for drafting contracts, managing end-to-end processing, ensuring timely execution, and maintaining records.

Responsibilities
  • Draft, issue, negotiate, and process standard publishing contracts and amendments including work for hire, reprint agreements, and simple author and artist agreements.
  • Track contract status through lifecycle: request, drafting/review, negotiation, execution, and archiving.
  • Ensure contracts progress efficiently and meet reasonable time frames; coordinate with business and legal counterparts to resolve bottlenecks.
  • Maintain and update contract records in the contracts management system, ensuring accuracy and compliance.
  • Liaise with editorial, finance, and manufacturing departments to gather information needed for contract creation.
  • File executed contracts correctly and ensure accessibility in digital contract management/storage systems.
  • Respond to internal inquiries regarding contract terms, status, and documentation.
Qualifications
  • Proficiency in contract drafting and negotiation.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and meet deadlines in a fast‑paced environment.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and familiarity with contract management systems or databases.

Experience and Education

  • 1–2 years of experience in an administrative or coordinator role, ideally in a legal environment.
  • Preferred:
    Experience with publishing contracts and knowledge of intellectual property rights; prior work in a publishing or media company.
  • Bachelor’s degree or equivalent work experience.
