You are a strong communicator who can manage shifting priorities, handle confidential information with care, and partner effectively with executives, internal teams, vendors, and employees across the company. You are comfortable working in a highly professional environment where accuracy, follow-through, and discretion matter.

  • Coordinate domestic and/or international travel arrangements and related logistics
  • Coordinate representative letter signatures and related documentation workflows
  • Coordinate with the Corporate Security team on miscellaneous executive and business needs
  • Coordinate company-wide delinquency and credit loss reporting, including cardholder outreach and executive management reporting
  • Prepare, submit, and track executive expense reports
  • Support expense report audits to help ensure compliance with company policy
  • Support scheduling for quarterly Finance meetings and the annual budget meeting process
  • Assist with the setup and maintenance of company-wide digital and print subscriptions through a centralized third-party service provider
  • Assist with Corporate Credit Card Program administration, including cardholder procedures and follow-ups
  • Help ensure cardholder expenses are submitted in a timely manner
  • Review and process invoices related to digital and print subscription services
  • Partner with internal stakeholders and external vendors to resolve administrative, billing, and process-related questions
WHAT YOU WILL NEED
  • Administrative or executive support experience in a corporate, finance, media, or similarly fast-paced environment
  • Experience preparing expense reports and working with corporate card or expense management processes
  • Strong calendar management, scheduling, and travel coordination skills
  • Strong written and verbal communication skills
  • Strong organizational skills and a service-oriented mindset
  • High attention to detail and strong follow-through
  • Ability to manage confidential information with discretion
  • Ability to prioritize competing deadlines and adjust quickly as business needs change
  • Comfort working with executives and cross-functional partners
  • Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and related business tools
NICE TO HAVE BUT NOT A DEAL BREAKER
  • Experience supporting Finance, Accounting, Treasury, or Corporate Operations teams
  • Experience with Workday, Concur, or a similar expense management platform
  • Experience coordinating company-wide administrative programs, vendor invoices, subscriptions, or cardholder processes
  • Bachelor’s degree or equivalent experience
ABOUT YOU
  • You are someone who likes being the person others can count on
  • You stay calm under pressure, keep track of the details, and know how to move work forward without needing constant direction
  • You enjoy supporting leaders, creating order, and helping teams stay focused on the work that matters most
  • You bring sound judgment, professionalism, and a collaborative approach to everything you do. Whether you are managing a packed calendar, tracking down an expense follow-up, or coordinating a time-sensitive executive document, you take ownership and make sure it gets done right
