Location: New York
A leading Investment Firm in Midtown Manhattan (gorgeous offices!) is seeking a highly organized, discreet, and resourceful Executive & Personal Assistant to support their CEO across both professional and personal responsibilities. This dual‑scope role serves as a second layer of support alongside the existing Executive Assistant, ensuring the CEOs time, priorities, and household affairs are managed seamlessly. Candidates must have a minimum of 2+ years of applicable administrative experience, ideally working in a corporate office environment, and a Bachelors degree is required.
The ideal candidate is a proactive problem‑solver who thrives in a fast-paced environment, anticipates needs before they arise, and handles sensitive information with the utmost confidentiality. - Salary depends on experience (90k base), plus paid overtime and discretionary bonus eligibility. Amazing benefits, including gym reimbursement, catered lunch when in office, profit sharing, 401k, etc.
- Hours are 9:00am-6:00pm, with flexibility as needed. Hybrid work schedule (4 days in office / 1 day remote).
- Provide high-level executive business and personal administrative support to the CEO, working in tandem with the existing Executive Assistant.
- Coordinate and manage heavy calendars for meetings in various time zones.
- Maintain various spreadsheets for the department.
- Plan and coordinate complex domestic and international travel arrangements and detailed itineraries.
- Manage and process expense reports using Concur.
- Update and maintain marketing information using CRM database (Salesforce).
- Work closely with the other EAs throughout the different offices.
- Assist with other projects and responsibilities at the teams discretion.
- Minimum 2+ years of applicable administrative experience, ideally working in a corporate environment.
- Bachelors degree required.
- Extremely polished and professional.
- Ability to interact with colleagues at all levels in a fast‑paced environment, often under pressure.
- Flexible, proactive, resourceful, and efficient.
- High level of confidentiality.
- Exceptional communication skills, strong decision‑making ability, and attention to detail.
