The following duties will be expected, but could change based on specific needs that are encountered:
The Office Assistant 2 (OA
2) will gather, compile, and prepare compliance data from manual or automated files and other sources for various reports, publications, records, or other external or internal communications. They will answer questions and provide information to various parties regarding Food and Nutrition Services. The OA 2 will perform processing activities, including checking forms for completeness and accuracy and creating/printing forms used by food service staff.
The incumbent will prepare reports or assist in the preparation of reports following established guidelines. They will be responsible for nourishments, pantry and supplies inventory and maintaining stock sheets. They will maintain daily temperature sheets for dish machines and CPK cooler, daily sanitize machine logs, food temp logs.
The OA 2 will coordinate arrangements for meetings, courses, and other gatherings. They will arrange rooms, take attendance, and ensure that appropriate materials and equipment are available. The incumbent will participate in the Dietary Council's meetings and is responsible for maintaining official records of those meetings, including writing and filing the meeting minutes.
The Office Assistant 2 will manage the Food Service Departments files, maintain resident diet roster for food service staff and manage resident menus and create cafeteria menus for employees.
They will assign work to staff and assure necessary coverage for assignments. This includes providing subordinates with specific instructions concerning the preparation of documents, processing of materials, and maintenance of records. They will provide training in the use of work equipment, and office and agency procedures. The OA 2 will evaluate the performance of staff and prepare performance evaluations. They oversee employee schedules and track overtime and scheduled/unscheduled absences;
assist with employee timesheets; schedule subordinate work hours and time off. They will track birthday list (monthly) for nourishments. Orient all new hires during orientation.
Reassignment and Transfer Candidates:
Current New York State Department of Health employee with permanent or contingent permanent service as an Office Assistant 2, Grade 9; OR current New York State employee with one year or more of permanent or contingent permanent, competitive service in a title eligible to 70.1 transfer to Office Assistant 2, Grade 9.
Promotional Provisional Appointment:
In the absence of an eligible list with three or more candidates willing to accept a position, a provisional appointment may be considered. For provisional appointment, candidates must meet one of the following minimum qualifications:
Be a current NYS Department of Health employee with one year of permanent competitive or 55-b/55-c service as an Office Assistant 1, Grade 6, or Office Assistant, Clerical, or Keyboarding title allocated to a Grade 6 or higher.

Minimum Qualifications:
One year of clerical experience.

Preferred Qualifications:
Experience in a kitchen, specifically in a setting for a long-term care skilled nursing facility.
One permanent or provisional, competitive full-time appointment, or non- competitive full-time appointment via HELPS.

Non-Competitive Promotion:
If there are three or fewer qualified candidates interested in the appointment to this position, a permanent appointment may be made pursuant to Section 52.7 of the Civil Service Law. To be eligible, candidates must be an employee of the Department of Health Veterans Home at Oxford and have one year of permanent competitive service as an Office Assistant 1, Grade 6, or Office Assistant, Clerical, or Keyboarding title allocated to a Grade 6 or higher.
