Confidential Executive Associate POSITION DETAILS
The City University of New York (CUNY) is the nation's leading urban public university serving hundreds of thousands of students at 26 colleges and institutions in New York City. University Human Resources (UHR) at Central Office delivers a full range of strategic and consultative human resources services across the University.
Reporting to the Chief of Staff of UHR, the Confidential Executive Associate serves as a key member of the UHR team and plays a central role in advancing the priorities of the Vice Chancellor’s office. The Executive Associate provides high‑level administrative, operational, and strategic support while exercising sound judgment, discretion, and initiatives while managing complex workflows, managing executive activities, and supporting high‑impact initiatives in a fast‑paced, high‑visibility environment.
In addition to the CUNY Title Overview information, other key duties include, but will not be limited to the following:
Provides direct support to the Vice Chancellor’s leadership team by coordinating priorities, streamlining workflows, and ensuring effective execution and follow‑through on office‑wide initiatives.
Assesses, prioritizes, and escalates issues to the UHR leadership as appropriate, determines the proper course of action and facilitates timely resolution.
Manages the Vice Chancellor’s calendar, coordinates meetings and events (virtual and in‑person), and works across the Chancellery, union leadership, and service partners to support larger convenings.
Oversees administrative operations, logistics, and execution for executive meetings, events, speeches, and appearances, includes:
Partners with internal and external stakeholders
Secures venues and managing event logistics
Prepares agendas, communications, and materials
Manages vendor relationships and payments
Partners with IT for event‑related technology needs
Supports procurement activities for the Vice Chancellor’s Office, ensures compliance with CUNY financial policies, includes reconciliation of credit cards, invoices and procurement processes.
Manages and coordinates communications on behalf of the Vice Chancellor and UHR.
Proactively optimizes the Vice Chancellor’s time by anticipating priorities, resolving scheduling conflicts, and aligning activities with organizational goals.
Maintains office records and oversees record retention for the Vice Chancellor’s Office.
Until further notice, this position is eligible for a hybrid work schedule.
This position is excluded from union representation.
Minimum:
Bachelor's Degree and six years' relevant experience required.
Preferred:
Demonstrated experience providing high‑level support within an executive leadership environment, preferably in a Vice Chancellor or comparable office.
Strong technical proficiency, including the ability to manage, analyze, and prepare data for reports, and experience working with enterprise systems or databases, e.g. Workday.
Exceptional organizational and project management skills, with the ability to manage multiple priorities, coordinate complex activities, and meet deadlines with minimal supervision.
Strong analytical, critical thinking, and problem‑solving abilities with a high level of attention to detail and accuracy.
Proactive, flexible, and service‑oriented approach, with strong interpersonal skills and the ability to work effectively across a multi‑stakeholder environment.
Excellent written and verbal communication skills, including the ability to develop executive‑level materials, facilitate meetings, and support presentations.
Proven ability to support the operational, administrative, and strategic needs of a Vice Chancellor’s Office, including coordination of cross‑functional initiatives and executive communications.
Supports a Campus or University Executive in a variety of activities and initiatives as a key team member.
Organizes and manages projects involving different areas of the Campus or University community, with responsibility for project outcomes.
