Position Overview

Reporting to the Executive Chief of Staff and Special Advisor to the President, the Executive Confidential Associate to the President provides high-level confidential administrative and executive support to the Office of the President.

The Executive Confidential Associate manages a broad portfolio of responsibilities related to presidential scheduling, executive correspondence, meeting coordination, constituent services, records management, official events, and the daily administration of the President’s Office.

The position serves as a primary point of contact for individuals and organizations communicating with the Office of the President. The Executive Confidential Associate regularly interacts with senior administrators, faculty, staff, students, CUNY offices, government representatives, community leaders, institutional partners, and members of the public.

The position requires a high degree of discretion, professionalism, responsiveness, sound judgment, and attention to detail. The Executive Confidential Associate independently handles administrative matters within the scope of assigned responsibilities and ensures that the President’s Office operates efficiently, professionally, and in accordance with institutional procedures.

Responsibilities Executive Office Administration
  • Manage the daily administrative operations of the Office of the President.
  • Maintain the President’s calendar, including meetings, appointments, campus engagements, external events, ceremonial activities, travel, and other official commitments.
  • Review, prioritize, and coordinate requests for the President’s attendance, participation, signature, approval, or response.
  • Anticipate scheduling needs, identify conflicts, and recommend adjustments based on the President’s availability and established priorities.
  • Coordinate meeting logistics, including confirming participants, reserving meeting locations, arranging virtual access, preparing materials, and communicating instructions.
  • Maintain administrative tracking systems for correspondence, invitations, signature requests, appointments, meeting requests, and other items directed to the President’s Office.
  • Ensure that the President and Executive Chief of Staff receive timely information regarding appointments, deadlines, visitors, and administrative matters.
  • Establish and maintain office procedures that support consistency, organization, confidentiality, and timely service.
Presidential Correspondence and Communications
  • Draft, edit, proofread, format, and coordinate confidential and routine correspondence on behalf of the President and the Office of the President.
