Position Overview:The Administrative Coordinator will provide comprehensive administrative and operational support to multiple team members, ensuring the smooth day-to-day functioning of the department. This role requires someone detail-oriented, proactive, and able to manage competing priorities while maintaining professionalism and accuracy. The ideal candidate is tech-savvy, resourceful, and thrives in a collaborative, fast-paced corporate setting.
Responsibilities of the Administrative Coordinator:- Provide administrative support to managers and department leadership.
- Coordinate calendars, meetings, conference rooms, and scheduling logistics.
- Prepare reports, presentations, meeting materials, and correspondence.
- Manage expense reports, invoices, and purchase requests.
- Maintain accurate records, files, and departmental documentation.
- Assist with data entry, reporting, and tracking projects.
- Coordinate travel arrangements and meeting logistics as needed.
- Serve as a liaison between internal departments and external vendors.
- Handle incoming communications and respond professionally to inquiries.
- Support special projects and assist with additional administrative initiatives.
- 2+ years of administrative, coordinator, or office support experience.
- Strong organizational and time management skills.
- Excellent attention to detail and ability to multitask.
- Professional written and verbal communication skills.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Ability to manage confidential information with discretion.
- Strong problem-solving skills and a proactive mindset.
- Ability to work effectively in a fast-paced corporate environment.
- Previous experience within financial services, banking, investment management, accounting, or professional services.
- Experience coordinating projects or supporting multiple executives or teams.
- Familiarity with expense management systems, CRM platforms, or ERP systems.
- Bachelor's degree is preferred.
