The CUNY Mexican Studies Institute (MSI) based at Lehman College is dedicated to empowering Mexican and broader Latinx communities in New York City through research, education, and community engagement.

The CUNY Mexican Studies Institute seeks an Administrative Coordinator (aHEO) to provide high-level administrative and organizational support to the Director and institute leadership. The Administrative Coordinator will serve as a central point of contact, managing day-today office operations, scheduling, procurement, communications, and recordkeeping to ensure the smooth functioning of the Institute.

The role required professionalism, discretion, organizational ability, and bilingual communication skills (Spanish/English). The Administrative Coordinator will be responsible for maintaining efficient administrative systems and supporting Institute program, events, and initiatives.

Key Responsibilities Include
  • Manage the Director’s calendar, communications, and correspondence.
  • Coordinate purchasing, procurement, and reimbursements in compliance with CUNY and Research Foundation guidelines.
  • Oversee general office operations, including records management, filing systems, and supplies.
  • Serve as liaison with internal and external stakeholders, including faculty, staff, students, and community partners.
  • Support planning and logistics for Institute events, programs, and meetings.
  • Prepare and edit correspondence, reports, and other documents.
  • Assist with grant and budget monitoring, as directed.
  • Provide general administrative support to ensure the efficient daily operations of the institute.
Qualifications
  • Bachelor's Degree required. (Business Administration, Public Administration, Liberal Studies, or related field preferred).
  • At least 2 years of progressively responsible administrative experience preferred.
  • Experience in higher education or nonprofit administration.
  • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and database/financial systems.
  • Knowledge of CUNY systems and procedures (CUNYfirst, Research Foundation, eProcurement) a plus.
  • Experience coordinating events, logistics, or community-facing programs.
