Position

Summary

The Collections Librarian is responsible for the comprehensive management, organization, and stewardship of the Library’s collections and bibliographic resources. The ideal candidate will be a highly organized, detail-oriented, service-focused professional with exceptional administrative, technical, and organizational skills. This position serves as the primary administrator for the creation, maintenance, quality control, and ongoing enhancement of the Library’s bibliographic records and cataloging systems, ensuring the accuracy, consistency, and discoverability of the Library’s collections.

The Collections Librarian also oversees all interlibrary loan (ILL) services and circulation operations, ensuring the efficient, accurate, and timely delivery of services to members, researchers, and staff. Success in this role requires meticulous attention to detail, strong analytical and time management skills, and the ability to manage multiple priorities while maintaining the highest standards of accuracy, professionalism, and member service. Because many of the Library’s technical services, collection records, and resource-sharing activities flow through this position, consistent follow-through, sound judgment, and a commitment to maintaining the integrity and accessibility of the collection are essential.

Key Responsibilities Cataloging & Bibliographic Services
  • Create, edit, maintain, and enhance original and copy catalog records in accordance with established cataloging standards and best practices.
  • Import, export, and manage bibliographic records utilizing OCLC World Share and other integrated library systems, ensuring the accuracy, consistency, and integrity of the Library’s catalog.
  • Process, classify, label, and prepare newly acquired materials for circulation and public access.
Access Services & Circulation
  • Manage the Library’s circulation and Interlibrary Loan (ILL) operations, ensuring accurate patron records, efficient lending procedures, timely resource sharing, and exceptional member service.
  • Maintain circulation statistics, periodical subscriptions, Library supplies, and collaborate with the Director of Library on stack maintenance, collection organization, and space management.
Collection Management & Development
  • Assist in the development, evaluation, organization, and preservation of the circulating collection through weeding, shifting, inventory control, and the identification of materials for repair, replacement, retention, or withdrawal.
Reference & Member Services
  • Provide reference, research, readers’ advisory, and technology assistance to members, guests, researchers, and staff, delivering knowledgeable, personalized service while promoting effective use of the Library’s collections and resources.
  • Collaborate with the Library Director to develop exhibitions, prepare articles and member communications, and assist with the planning and execution of Library programs, lectures, exhibitions, and special events that promote the Library’s collections and services.
General Responsibilities
  • Maintain current knowledge of library practices, cataloging standards, and emerging technologies.
  • Exercise sound judgment and discretion in handling confidential information.
  • Perform other duties and special projects as assigned in support of the Library’s mission and the objectives of The University Club.
Candidate Qualifications
  • MLS or MLIS degree from an ALA-accredited institution.
  • Two (2) or more years of experience in library cataloging, technical services, or collection management preferred.
  • Working knowledge of cataloging and metadata standards, including MARC
    21, RDA, LCSH, OCLC World Share, and integrated library systems (ILS).
