Construction Project Coordinator
Location: Hybrid (based out of New York City)
Department: Multiple Divisions
Salary: $70,000–$80,000 annually
Summary:
Our client is seeking a highly organized and resourceful Construction Project Coordinator to provide dedicated support to multiple executives across various business units. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and can effectively manage competing priorities while supporting several senior leaders simultaneously.
Responsibilities:
- Provide comprehensive administrative support to multiple executives while balancing competing priorities and deadlines.
- Manage complex, ever-changing calendars, coordinating meetings, appointments, and conference calls.
- Serve as a primary point of contact for internal and external communications on behalf of supported executives.
- Coordinate travel arrangements, itineraries, and expense reporting.
- Prepare, format, and proofread correspondence, presentations, reports, and other business documents.
- Organize and maintain confidential files, records, and documentation.
- Assist with meeting preparation, including agendas, materials, meeting minutes, and follow‑up on action items.
- Coordinate executive meetings, office events, and other business functions.
- Anticipate executive needs and proactively manage schedules and shifting priorities.
- Draft and edit professional business correspondence with exceptional attention to detail.
- Prepare briefing materials and presentations for executive meetings.
- Maintain strict confidentiality regarding sensitive business information.
- Facilitate communication across departments on behalf of executives.
- Track project milestones and ensure action items are completed in a timely manner.
- Support special projects and additional administrative initiatives as assigned.
Qualifications:
- 4+ years of experience supporting senior leaders or executives required.
- Exceptional organizational and time-management skills with strong attention to detail.
- Excellent written and verbal communication skills.
- Ability to exercise sound judgment, discretion, and maintain confidentiality.
- Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).
- Strong multitasking abilities and the ability to adapt in a fast‑paced environment.
- Professional demeanor with outstanding interpersonal skills.
