Position OverviewThe Executive Assistant will provide high-level administrative support to senior executives, managing complex calendars, coordinating travel, preparing meeting materials, and ensuring the seamless day-to-day operation of the executive office. The ideal candidate is poised, resourceful, detail-oriented, and accustomed to supporting executives in demanding financial services environments. This role requires exceptional professionalism, sound judgment, and the ability to handle confidential information with discretion.
ResponsibilitiesOf The Executive Assistant
- Manage complex executive calendars and scheduling across multiple time zones.
- Coordinate domestic and international travel, itineraries, and expense reporting.
- Prepare presentations, reports, meeting materials, and executive correspondence.
- Coordinate internal and external meetings, conference calls, and video conferences.
- Serve as the primary point of contact for executives, clients, and business partners.
- Screen communications and prioritize requests on behalf of executives.
- Track action items, deadlines, and follow-up activities.
- Process invoices, expense reports, and vendor payments.
- Maintain confidential files and sensitive business information.
- Assist with special projects and provide administrative support across the Executive team.
- 5+ years of Executive Assistant experience supporting senior executives.
- Exceptional calendar management and travel coordination experience.
- Strong organizational and project management skills.
- Excellent written and verbal communication abilities.
- Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
- Ability to prioritize multiple high-level responsibilities in a fast-paced environment.
- High level of professionalism, discretion, and attention to detail.
- Strong interpersonal skills with a client-service mindset.
- Experience supporting C-suite executives or Managing Directors.
- Previous experience within private equity, investment management, hedge funds, banking, or financial services is strongly preferred.
- Experience coordinating board meetings, investor meetings, or executive events.
Familiarity with Concur, Workday, Salesforce, or similar business systems.
- Bachelor's degree is preferred.
