Role Description

This is a full-time, on-site Executive Assistant and Studio Manager role based in New York, United States. The individual in this role will provide comprehensive executive administrative support to the founders, including managing calendars, scheduling meetings, organizing travel, preparing expense reports, and handling day-to-day communications.

Responsibilities Executive & Administrative Support
  • Assist with calendars and scheduling
  • Coordinate domestic and international travel arrangements
  • Prepare and organize meeting materials and agendas
  • Track action items and assist with follow-up on key projects
  • Review employee expense reports for completeness and policy compliance and route for final approval
  • Coordinate accounts payable processes, including invoice collection, coding, approval tracking, and payment preparation
  • Oversee all computer and equipment leases ensuring timely renewals
  • Assist with special projects and administrative requests as needed
Reception Responsibilities
  • Serve as the first point of contact for visitors, customers, vendors, and partners
  • Welcome guests to our showroom and ensure a polished, professional experience
  • Manage deliveries, mail, and incoming communications
  • Maintain the presentation and organization of the showroom lobby and reception area
  • Coordinate refreshments and hospitality for meetings and appointments
  • Help create an inviting environment that reflects the Lizzie Fortunato brand
  • Oversee the day-to-day operation of the office, showroom, and common areas, ensuring a welcoming, organized, and professional environment
  • Manage ordering and inventory of all office, kitchen, shipping, and operational supplies
  • Maintain kitchen and shared spaces, including light daily upkeep such as unloading/loading the dishwasher and ensuring supplies are stocked and organized
  • Coordinate and manage relationships with cleaning, maintenance, and other office service providers
  • Serve as the primary contact for office repairs, facilities issues, deliveries, and vendor visits
  • Coordinate hospitality for meetings, visitors, and company events
  • Coordinate shipping and courier requests when needed
  • Identify opportunities to improve office systems and workflows
Qualifications
  • 5+ years of experience as an Executive Assistant, Office Manager, Administrative Manager, or similar role with strong c alendar management, meeting coordination, and task prioritization skills.
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication skills
  • Highly detail-oriented with excellent follow-through
  • Comfortable managing multiple priorities simultaneously
  • Proficiency in Google Workspace and Microsoft Office Experience with expense management and travel booking
  • Positive, professional, and service-oriented attitude
Preferred
  • Experience working in fashion, consumer products, luxury, creative, or founder-led businesses
  • Familiarity with tools such as Quick Books, Expensify, Ramp, or similar expense-management platforms
  • Experience supporting senior executives or founders
