Location: Shakers

The scheduler for nursing staff at Shaker Place Rehabilitation and Nursing Center is responsible for creating, managing and maintaining the 24-hour nursing staff schedules to ensure adequate and appropriate staffing levels for all shifts at the nursing home. This role requires exceptional organizational skills, attention to detail and the ability to communicate effectively with nursing staff and management. The scheduler must ensure compliance with all staffing policies, procedures and regulations.

This is a temporary position through the end of the year.

Responsibilities/Typical Work

Activities:

Schedule Management:
  • Develop and maintain monthly, weekly, and daily schedules for nursing staff, ensuring adequate coverage for all shifts in accordance with collective bargaining agreements.
  • Adjust schedules as needed to accommodate changes in staff availability, patient needs, and unforeseen circumstances.
  • Track and manage staff time-off requests, sick leave, and other absences.
  • Responsible for staffing on a 24-hour/7-days a week basis.
  • Distributes schedules at least two weeks prior to the commencement of the work schedule.
  • Generates reports as directed by the executive director or director of nursing.
  • Tracks the number of staff hours per resident per day.
  • Maintains various rosters, such as call-in substitution.
  • Works with supervisors to determine excused and unexcused absences.
  • Maintains a log of employees who have excessive absenteeism and patterns of tardiness.
Communication:
  • Communicate scheduling information clearly and promptly to nursing staff.
  • Address and resolve any scheduling conflicts or issues in a timely manner.
  • Serve as a point of contact for nursing staff regarding scheduling inquiries and concerns.
  • May be responsible for scheduling other departmental personnel as directed.
Compliance:
  • Ensure staffing schedules comply with state and federal regulations, as well as nursing home policies.
  • Maintain accurate and up-to-date records of staff schedules, attendance, and time-off.
  • Monitor and report any staffing discrepancies or issues to the director of nursing.
Collaboration:
  • Work closely with the director of nursing and other department heads to anticipate and meet staffing needs.
  • Participate in staff meetings and contribute to discussions on staffing and scheduling improvements.
Software and Tools:
  • Utilize scheduling software to create and manage nursing staff schedules.
  • Train nursing staff on the use of scheduling software as needed.
Full Performance, Knowledge, Skills, Abilities and Personal Characteristics:
  • Willingness to cooperate and carefully follow a prescribed routine;
  • Physical condition commensurate with the demands of the position;
  • Ability to work independently and manage time effectively;
  • Proficiency in scheduling software and Microsoft Office Suite.,
  • Strong knowledge of scheduling and union contract requirements;
  • Intermediate computer knowledge and literacy.
  • Highly organized and accurate;
  • Strong oral and written communication skills including tact and diplomacy.
  • Ability to work in a highly pressurized situation.
  • Ability to prioritize high volume of work.
  • Ability to work with minimal supervision.
  • Ability to interpret requests and determine appropriate responses.
Minimum Qualifications:
  • High school diploma or equivalent; associate's or bachelor's degree in healthcare administration or a related field preferred.
  • One year of previous experience in scheduling, particularly in a healthcare or nursing home setting, is highly desirable.
