Job Description

This vacancy is only open to current permanent Parks employees serving in the Principal Administrative Associate civil service title or on leave from the title. Only open to current full-time annually paid Parks employees. Major Responsibilities include assisting the Director of Buildings Construction Unit (BCU) with the management of Capital Division design and construction projects, tracking project schedules, monitoring Unifier for missed tasks, serving as liaison to other internal units, monitoring project funding, leveraging problem solving skills, working closely with high-level staff, initiating and coordinating meetings, collating information into cohesive reports, providing general office support, utilizing data to create spreadsheets and charts, and assisting the Chief of Construction and the Director of BCU with other tasks and projects.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or 2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above;

or 3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

3. Excellent time management, writing, administrative and interpersonal skills.
4. Ability to multitask and learn new systems quickly.
5. Ability to work independently and as part of a team.
6. Excellent interpersonal, customer service and presentation skills.
7. Ability to multi-task in a fast-paced environment, prioritize among competing needs and respond quickly to requests for information.
8. Experience in project management, procurement, construction or construction-related services, or professional, technical or administrative experience in contract management.
9. Proficiency in Microsoft 365 including Teams and One Drive.

Residency Requirement

Residency in New York City, Nassau, Orange, Rockland, Suffolk, Putnam or Westchester counties required for employees with over two years of city service. New York City residency required within 90 days of hire for all other candidates.
