Scheduling Unit Supervisor

The Office of Child Support Services (OCSS) primary goal is to ensure that children are financially supported by both parents. OCSS accomplishes this by locating non-custodial parent (NCP), establishing paternity and child support orders, and collecting and disbursing child support funds to those children. OCSS also services NCPs who are unable to provide financial support due to unemployment and/or being underemployed, by partnering with community-based organizations which offer educational, training, and job placement services for eligible parents.

Enforcing and establishing child support orders, combined with employment and other support, assists impoverished families gain financial independence and become self-sufficient.

Under supervision of the Office Manager (Principal Administrative Associate I) with latitude for independent judgment, the Clerical Associate III functions as the Borough Office Clerical Supervisor, responsible for the supervision of a support staff engaged in the clerical functions for The Intake / Clerical staff. The Office of Child Support Services (OCSS) is recruiting (1) one Clerical Associate III to function as a Scheduling Unit Supervisor who will:

  • Supervise and schedule work assignments to all clerical support staff; ensures that coverage is available for all clerical activities.
  • Utilizes various systems applications to review and/or update as necessary, based on scheduled client appointments and/or walk-ins / call-ins, such as FRED, NYCWAY, ASSETS, WMS, ECFS, CS TRACK, etc.
  • Conducts scanning and indexing of client documents to various applications, as necessary.
  • Answer / respond to telephone calls regarding scheduled appointments, sanctions and other assorted client inquiries. Refers caller to other departments when appropriate.
  • Receives and process hard and electronic mail & faxes, including CS Track, as needed.
  • Compile daily / weekly statistical reports by summarizing data tallies and other accumulated data; prepares and updates rosters to keep control on all cases assigned and completed.
  • Provide staff "elbow" training and provides feedback / suggestions on modification of policies and procedures.
  • Monitor time and leave and rates the performance of subordinates.
  • Assist with ensuring office inventory of supplies, and clients forms / written materials are adequately stocked. Assist with annual inventory protocol.
  • Provide coverage for all clerical tasks, when necessary.
  • Perform other routine clerical functions as assigned.

Clerical Associate - 10251

Minimum Qualifications

Qualification Requirements A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience. Skills Requirement Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
