Location: New York

A well-established construction firm in Queens is seeking a highly organized Executive Assistant to support senior leadership in a fast-paced, deadline-driven environment. This individual will play a key role in keeping daily operations running smoothly by managing executive schedules, coordinating meetings, handling communications, and assisting with project and office administration.

Responsibilities
  • Manage executive calendars, meetings, and travel arrangements.
  • Screen calls, emails, and correspondence.
  • Prepare reports, presentations, and meeting agendas.
  • Coordinate with clients, subcontractors, vendors, and project managers.
  • Maintain contracts, project documentation, and confidential files.
  • Assist with bid packages, proposals, and general office operations.
  • Track invoices, expenses, and purchase orders.
  • Organize company events and executive meetings.
  • Perform additional administrative duties as needed.
Qualifications
  • 3+ years of Executive Assistant or high-level administrative experience.
  • Prior experience in the construction, engineering, architecture, or real estate industry is strongly preferred.
  • Excellent organizational and multitasking skills.
  • Strong written and verbal communication abilities.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Experience with Procore, Sage, or similar construction software is a plus.
  • Ability to handle confidential information with professionalism.
