CAMPUS SPECIFIC INFORMATION

Kingsborough Community College (KCC) is a community college of The City University of New York (CUNY) located in Brooklyn, New York. Events Management oversees the scheduling, coordination, and management of approximately 42 event spaces across campus, as well as the facilitation of contracted external events and athletic facility rentals. The department serves as the operational hub for all campus events, working in close partnership with Buildings & Grounds, Public Safety, Information Technology, and other college departments to ensure safe, efficient, and successful event execution.

POSITION

OVERVIEW

Reporting to the Administrative Events Manager & The Athletic Director, the Non-Teaching Adjunct serves as an event coordinator and on-site college representative for contracted and pending-contract events, for event and athletic facility rentals. The incumbent participates in all phases of event planning — from pre-event coordination through day-of execution — and acts as the primary college point of contact during active rentals.

This role requires strong organizational skills, cross-departmental communication, and the ability to manage multiple concurrent priorities in a dynamic campus environment

DUTIES AND RESPONSIBILITIES Pre-Event Planning & Coordination
  • Participates in pre-event planning meetings and site walkthroughs for contracted and pending-contract events.
  • Participates in the coordination of event logistics across campus stakeholder departments including Buildings & Grounds (maintenance, labor, custodial services etc.), Public Safety, Information Technology (IT), Events Management, and any other area requiring operational involvement.
  • Reviews event contracts, permits, and agreements to understand scope, timeline, setup requirements, and any special conditions; communicates relevant details to all coordinating departments.
  • Prepares and distributes event briefing documents, setup checklists, and day-of schedules to all involved parties.
  • Liaises with external clients and contracted event organizers to confirm logistics, access requirements, equipment needs, and compliance with college policies prior to event dates.
  • Enters and maintains event records in the College's room booking and event management system (Mazevo) and any other applicable tracking platforms.
  • Assists in the execution of facility use agreements, and facility rental documentation as directed.
Day-of Event Execution
  • Serves as the primary college point of contact on event days for all contracted and rental events, representing Kingsborough Community College.
  • Coordinates and monitors setup, breakdown, and facility readiness in collaboration with Buildings & Grounds labor and custodial staff, ensuring spaces are prepared and restored according to event specifications and college standards.
  • Works directly with Public Safety to ensure appropriate access control, security coverage, and adherence to campus emergency and safety protocols throughout all facilities and event activities.
  • Responds to real-time operational needs, troubleshoots logistical issues, and escalates concerns to the Administrative Events Manager & Athletic Director as appropriate.
  • Ensures event clients and organizers are supported throughout their use of campus facilities and are in compliance with all applicable college policies and contractual obligations.
  • Confirms that all IT, audiovisual, and technology needs are addressed in coordination with Events Management & the Office of Information Technology Services.
  • Conducts post-event space inspections and communicates any damage, discrepancies, or follow-up items to the appropriate departments and supervisor.
