Oneg is seeking an Executive Assistant & Family Office Manager with a proven track record of exceptional organization, efficiency, and follow-through. They will serve as the CEO's trusted right hand, ensuring that both the Executive Office and the Family Office/personal household operate with exceptional organization, efficiency, and follow-through. This role combines executive support, operations, project management, and personal/home administration to free the CEO to focus on leadership, strategy, relationships, and growth.
This is more than a traditional assistant role. It is an operational role for someone who thrives on creating order from complexity, anticipating needs, solving problems, and making sure nothing falls through the cracks — across both business and personal life.
Key Responsibilities Executive & Business Operations- Manage day-to-day operations of the CEO's business and family office, keeping both offices organized and running smoothly.
- Oversee CEO's calendars, travel, meetings, priorities, and communications.
- Organize and maintain financial and personal records (digital and paper) — including bills, expense reconciliation, receipts, and household documents — for both the business office and family office, with primary focus on the family office, and liaise with Operations Associate.
- Build and maintain efficient systems for files, technology, documents, contacts, and digital organization, and continuously identify opportunities to improve those systems and processes.
- Lead special projects from planning through execution.
- Implement AI tools and technology to improve productivity and streamline operations.
- Track action items, deadlines, and commitments across business and personal priorities, interfacing with teams supporting both.
- Oversee day-to-day upkeep and maintenance of the CEO's NYC apartment — scheduling repairs, deliveries, professional organizers, and service providers — and serve as point of contact for building staff, doormen, and vendors visiting the apartment.
- Maintain a clean, organized living space; do laundry and dry cleaning.
- Monitor and manage Oneg product inventory kept at the apartment, keeping the storage space organized and the tracker updated promptly whenever new product arrives; track product levels and communicate with the Operations Associate when product is running low so it can be reordered from the DC office.
- Manage the CEO's personal calendar in coordination with her professional calendar to avoid conflicts.
- Schedule and track personal appointments (medical, dental, personal care, etc.).
- Run and oversee personal errands.
- Coordinate family vacations and stays at the family farm — logistics, scheduling, packing lists, and communication with family and on-site staff.
- Research, book, and maintain personal travel arrangements (domestic and international) for the CEO.
- Handle personal mail, packages, and shipping.
- Perform other duties as assigned.
- Exceptionally organized with outstanding attention to detail and follow-through.
- Highly trustworthy, discreet, and exercises excellent judgment; maintains strict confidentiality.
- Communicates proactively, flagging issues early and following up without being prompted.
- Tech-savvy and eager to leverage AI and modern productivity tools.
- Excellent, clear, and responsive communicator with a service-oriented mindset.
- Comfortable managing vendors, contractors, and household staff.
- Equally professional handling business and personal/household responsibilities.
Success is measured by the CEO's ability to spend more time on vision, leadership, fundraising, relationships, and growth — because everything else, business and personal, is organized, anticipated, and executed with excellence.
CompensationExpected salary for this position is $50-65k. This is a full-time exempt position (not eligible for overtime).
