THE ROLE
REFORM Alliance is seeking an Executive Assistant to provide dedicated, high-level support to the Chief Policy Officer (CPO) — one of REFORM's most senior and externally-facing leaders. As a key member of the CPO's office, you will manage a demanding, relationship-driven schedule spanning elected officials, legislative staff, lobbyists, and coalition partners, while also serving as the connective tissue between the CPO's conversations with the CEO and the work of the Policy team.
You will be responsible for making sure that decisions and commitments made in fast-moving conversations actually reach the team that needs to act on them — and reach them quickly.
This role is on the Policy team and reports directly to the Chief Policy Officer
WHAT YOU’LL DO Executive Support & Follow-Through (40%)- Serve as a strategic partner to the CPO, proactively managing priorities, time, and information flow
- Manage complex calendar scheduling across the CPO, elected officials, legislative staff, lobbyists, coalition partners, and Policy team leadership
- Track commitments, decisions, and action items arising from the CPO's conversations with the CEO and other senior stakeholders
- Maintain a standing log of open items awaiting the CPO's input or follow-up, and proactively flag items at risk of stalling
- Anticipate the CPO's needs by working with the policy team in preparing briefings, talking points, and background materials ahead of meetings, testimony, and legislative engagements. May also need to staff CPO at meetings or events
- Act as the central coordinator for the CPO's calendar and scheduling priorities
- Handle travel planning and logistics, including flights, lodging, ground transportation, and itineraries for a heavy legislative travel schedule
- Manage expense reporting, reimbursements, and credit card reconciliation for the CPO
- Maintain organized digital and physical filing systems for policy and legislative documents
- Coordinate logistics for Policy Division meetings and legislative engagements
- Serve as the primary point of continuity between the CPO's external schedule and the Policy Division's operational needs
- Coordinate directly with the Managing Director, Policy and Policy Division staff to ensure alignment on priorities emerging from the CPO's external conversations
- Track timelines and deliverables tied to legislative commitments the CPO has made, escalating risks or delays before they become blockers
- Support scheduling and logistics for coalition and stakeholder engagements led by the CPO
- 3-5 years of experience as an executive assistant or similar role
- Proven experience in calendar management, travel coordination, and high-level administrative tasks
- Demonstrated ability to track commitments and drive follow-through across multiple senior stakeholders without formal authority over them
- Strong communication skills, both written and verbal
- Proficiency with Google Workspace and project management tools
- Discretion and confidentiality in handling sensitive information and executive communication
- Excellent organizational skills
