Responsibilities What You'll Do
  • Provide professional and welcoming customer service to residents, families, visitors, staff, and vendors.
  • Answer incoming telephone calls, greet visitors, and direct questions or requests to the appropriate department or team member.
  • Receive, sort, distribute, and process incoming and outgoing mail.
  • Process routine and stock orders according to established purchasing schedules and procedures.
  • Enter, log, and distribute purchase orders based on approved purchase requisitions.
  • Communicate with vendors and internal customers regarding pricing, quotations, delivery information, units of measure, product specifications, and other purchasing questions.
  • Maintain accurate files and records for purchase orders, requisitions, quotations, reports, and related documentation.
  • Assist with inventory management and ordering of supplies, forms, and other materials.
  • Receive, pack, unpack, organize, and distribute products and materials as needed.
  • Help maintain a neat, organized, and well-stocked supply/stockroom area.
  • Assist with purchasing reports and the maintenance of electronic purchasing systems.
  • Perform general administrative duties including typing, copying, recordkeeping, and document distribution.
  • Assist with facility activities such as conference room reservations, special event requests, and other administrative needs.
  • Maintain confidentiality of resident information and follow HIPAA and facility privacy requirements.
  • Work collaboratively with staff, vendors, residents, families, and other members of the care team.
  • Attend meetings and required training and participate in initiatives designed to improve service, productivity, and resident satisfaction.
  • Perform other duties as assigned by management or the Administrator.
From Up to Qualifications What We're Looking For
  • High school diploma or equivalent preferred.
  • Previous office, administrative, purchasing, customer service, or related experience preferred.
  • Purchasing experience is a plus.
  • Strong communication and telephone skills.
  • Excellent organizational skills and attention to detail.
