Smith Street Workshop is an educational enrichment and tutoring center offering personalized academic support, test preparation, and French language classes for students from Pre-K through 12th grade.

We are seeking an on-site Front Desk & Operations Associate to serve as the operational backbone of the tutoring center. This role is based at the center, where you will be the first point of contact for students and families, manage day-to-day administrative functions, and ensure a welcoming and well-run environment. The Front Desk & Operations Associate will support the coordination of tutoring sessions and classes and work with external vendors and service providers to address facilities and operational needs.

This is a hands‑on role well suited to someone who is organized, personable, detail‑oriented, and comfortable shifting between a student‑facing environment and an operational coordination function.

Schedule:

  • Monday through Friday, approximately 4.5 hours per day
  • Afternoons: on-site at the tutoring center, 2:30 – 7:00 PM

Responsibilities

  • Greet and welcome students and families as they arrive for tutoring sessions; assist with check‑in and answer questions to ensure a smooth, friendly experience
  • Facilitate transitions between classes and sessions, including supporting new students on their first day, guiding students to classrooms, and assisting with parent pickup
  • Monitor daily schedules, track attendance, and follow up with families when a student has not arrived; notify the scheduler when a tutor or teacher is unavailable or running late
  • Prepare the tutoring space daily according to the session schedule, including arranging furniture and setting up classrooms with materials such as pencils, handouts, and other supplies
  • Maintain inventory of tutoring center supplies and place orders as needed to ensure the center remains fully stocked and operational
  • Answer incoming calls and respond to email inquiries from current and prospective clients in a professional and timely manner
  • Provide administrative support including copying and preparing class materials, setting up for weekend practice tests, and keeping classrooms organized
  • Identify and help resolve day‑to‑day facilities and operational issues by coordinating with property management, cleaning crews, vendors, and other service providers as needed
  • Maintain common areas and instructional spaces so they remain tidy, welcoming, and conducive to learning
  • Assist with monitoring the general information inbox, responding to routine inquiries and helping triage scheduling‑related and time‑sensitive messages
  • Respond promptly and calmly to unexpected situations—including facilities issues, student behavior concerns, scheduling disruptions, and parent concerns—using sound judgment and escalating matters when appropriate.

Reporting Structure:

This role reports to the Academic Director of the tutoring center.

Experience and Qualifications:

  • Minimum 2 years of experience in guest services, front desk, or a related role
  • Experience in an education setting is a plus
  • High school diploma or equivalent required

  • Comfortable coordinating with staff, vendors, and service providers
  • Proficiency with Microsoft Office and Google Workspace
