Job Description

The Senior Executive Assistant will provide comprehensive support to the CEO and serve as a trusted point of contact for internal and external stakeholders. This individual will manage a complex calendar, coordinate travel and meetings, oversee key administrative priorities, and help ensure the CEO’s day-to-day operations run efficiently.

The successful candidate will be confident, resourceful, highly organized, and able to anticipate needs while maintaining professionalism and discretion. This role requires the ability to manage competing priorities, adapt to changing schedules, and handle sensitive business and personal matters with sound judgment.

Key Responsibilities
  • Manage a complex and frequently changing professional and personal calendar, including meetings, appointments, events, and travel.
  • Coordinate domestic and international travel, including detailed itineraries, transportation, accommodations, and related logistics.
  • Serve as a key liaison between the CEO and internal leadership, external contacts, and other stakeholders.
  • Coordinate executive meetings, including scheduling, agendas, materials, logistics, and follow-up.
  • Prepare and draft professional correspondence, presentations, reports, and other executive-level materials.
  • Provide high-level administrative and personal support while maintaining strict confidentiality.
  • Manage executive expenses, invoices, and related administrative documentation.
  • Act as a gatekeeper by prioritizing requests, managing communications, and helping to ensure the CEO’s time is used effectively.
  • Track key priorities and follow up on outstanding action items and commitments.
  • Anticipate needs, identify potential issues, and proactively coordinate solutions.
  • Build strong working relationships across the organization and maintain a professional, service-oriented approach.
  • Provide flexibility outside standard business hours for urgent scheduling, travel, or executive matters.
Qualifications
  • Bachelor’s degree preferred.
  • 10+ years of progressive Executive Assistant and/or Personal Assistant experience supporting CEOs, C-suite executives, founders, or other senior leaders.
  • Experience supporting senior executives within professional services, financial services, legal, consulting, corporate, investment, or similarly fast-paced environments is preferred.
  • Experience supporting both professional and personal executive needs.
  • Exceptional written and verbal communication skills, with the ability to interact confidently with senior-level stakeholders.
  • Demonstrated ability to handle confidential business and personal information with discretion.
  • Highly proactive, resourceful, and detail-oriented, with strong problem-solving skills.
  • Advanced proficiency in Microsoft Office, Outlook, Teams, and other business productivity tools.
  • Comfortable adapting to new systems, technology, and evolving executive priorities.
  • Flexible and responsive, with the ability to provide occasional after-hours support when necessary.
